Role Overview Under the general direction Chief Internal Auditor and the GIA Chief Operating Officer (COO), the primary focus of the role will be to provide executive level support the Chief Internal Auditor and the Heads of Audit, and help drive the performance and operation of the function.
You will be responsible for stakeholder management, extensive diary management, complex travel arrangements and acting as an initial point of contact for all enquiries and guests.
You will: B e calm under pressure; H ave absolute discretion and maintain confidentiality; H ave plenty of initiative and the ability to research and find out facts quickly; H ave a problem-solving attitude; and B e proficient with multi-tasking.
You will also play a support role in delivering the team's strategic objectives .
Role Responsibilities Leadership support, which includes: Schedule/diary management and travel support for the CIA and HoAs Meeting support including agenda preparation and post meeting notes for the CIA Organisation and support for leadership meetings and Town Halls, including oversight of actions arising Support the COO with preparation and coordination of high quality committee and meeting packs Support the COO in the production of monthly issue MI and TeamMate reports, incl.
QA reports"" Administrative support and coordination of team wide activities, such as annual planning.
Team administration, which includes: Facilities Management, including office equipment (ordering new devices and maintaining inventory) and managing premises " Finances - coordination of vendor invoices and processing invoices" " Organising and tracking team-wide training" " Organising team offsites, social events and complex travel arrangements" " Responsibility and management of GIA publications, intranet page, policies and procedures" " Maintaining team databases and filing systems " Experience / Competences Essential Data/tech savvy, with a good working knowledge of Microsoft Office including Power P oint, W ord and E xcel Highly organised and able to multitask " Proactive, rather than order taker - generate solutions" " Attention to detail" " Interpersonal skills and ability to influence" " Desired A background in Financial Services Ability to develop solid working relationships at all levels.
