Summary of Role: To work in an administration role in a busy department fulfilling the below duties.
The candidate will also be required to work on reception and provide cover for the main receptionist as and when required.
The ideal candidate would be someone who is happy to work across different teams and get involved in multiple different tasks.Role Description: Support the production of site packs through the printing and folding of DrawingsMaintaining all customer correspondence with respect to projects, archiving of completed contract documentation, email management, document tracking and archiving.Assisting with drawings to/from the shop floor, despatch notes and hand over to courier'sSending correspondence and documentation to customers, maintaining document transmittal recordsMaintaining paper records, filing, collating, checking, photocopying, scanning as requiredMaintaining electronic records, databases, spreadsheetsEnsuring all projects are conforming to all QA for documentationChase up of outstanding documentationTravel bookings.General admin duties such as typing, shredding, monitor of stationery cupboard and reordering stock, maintenance of printers and their supplies, post distributionReception cover, including answering the telephoneLaying out and clearing up of refreshments for meetings (coffee, buffets) Essential Requirements: Proven administration experience,Good organisation skillsAttention to detailGood interpersonal skills and not afraid to challengeGood skills/experience in Word, Excel, Outlook, databases Personal Qualities (essential): Able to work under pressure, to strict deadlines, sometimes juggling multiple demandsAble to work on own initiativeWillingness to learn and be pro-activeFlexibility over hours from time-to-timeGood personal skills, comfortable with meeting/greeting visitorsGood telephone manner In return Capula offers the following benefits to permanent employees 25 days holiday plus bank holidaysFlexible workingPensionLife assurance policyPrivate health careLifestyle screeningSalary sacrifice programmeMental health assistance programmeCycle to work schemeGreen car schemeSupport in achieving professional status (e.g.
