Job summary We are seeking an enthusiastic and highly motivated Practice Manager to join our friendly team.The successful candidate will play a pivotal role in ensuring the efficient and effective management of the practice, driving growth and sustainability in line with NHS policies and developments.The ideal candidate needs to be highly organised with experience of leading and managing a team.
The candidate must have excellent communication, HR, IT and financial management skills.
Experience working within a similar healthcare setting is preferred.
Previous leadership and management experience is essential.The Practice Manager is a key member of the team and will be expected to help and support the team in achieving goals and targets, to be able to motivate the team and to delegate where necessary, working closely with the Lead GPs and North Staffordshire GP Federation to ensure continuity and maintenance of the high standards of the practice.We are looking for a PM to work a minimum of 30 hours, up to full time would be considered for the right candidate.
Main duties of the job Main duties will include:Overseeing the day-to-day operations of the organisation, ensuring staff achieve their primary responsibilities.Functional management of all clinical and administrative staff, including HR processes such as recruitment and retention, probationary reviews, appraisals and absence management.Maintain and develop relationships with the Primary Care Networks.Maximising practice income and reducing expenditure.Ensuring the team reach QOF/QIF/IIF/FAAS targets.Ensuring the organisation maintains compliance with its NHS contractual obligations and requirements of CQC.Overseeing processes such as procurement and health and safety.Facilitating clinical and practice meeting and attending external meetings where required.
About us North Staffordshire GP Federation currently hold the contract for Meir Park and Weston Coyney Medical Practice.
We have a strong management team currently supporting the delivery of services at the practice and will continue to support the successful postholder when in role.The surgery is warm and welcoming with a well-established team consisting of:Two Salaried Lead GPs; two Salaried GPs; two Advanced Nurse Practitioners; two Practice Nurses; Health Care Associate; Assistant Practice Manager and a team of 13 Receptionist/Administrators.
Job description Job responsibilities The following are the core responsibilities of the Practice Manager, there maybe on occasion, a requirement to carry out other tasks.
This will be dependent upon factors such as workload and staffing levels.The Practice Manager is responsible for:Overseeing the day-to-day operations of the organisation, ensuring staff achieve their primary responsibilities.Functional management of all clinical and administrative staff.HR processes, under the guidance of Federation HR, including managing the recruitment and retention of staff; contractual issues, probationary reviews, staff performance and disciplinary and grievance issues.Establishing, reviewing and regularly updating job descriptions and person specifications.Developing, implementing and embedding an effective staff appraisal process.Maintaining an effective overview of and ensuring compliance with HR legislation.Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively.Keep up to date with developments and changes within primary care.Liaise with the Primary Care Network (PCN) and locality commissioners, attend meetings and promote collaborative working.Ensure the practice explores all opportunities to maximise income and reduce expenditure in conjunction with the Federation.Supporting the Federation Associate Directors in overseeing organisation accounts, ensuring year-end figures are presented.Managing and preparing monthly payroll submissions and pensions for practice staff and GPs, working alongside the Federation HR team.Managing the procurement of organisation equipment, supplies and services.Coordinating the reviewing and updating of all organisation policies and procedures and ensuring policies are effectively embedded into practice.Leading change and continuous improvement initiatives; coordinating all projects within the organization.Coordinating the compilation of organisation reports and the practice development plan (PDP).Ensuring the team reach QOF/QIF/IIF/FAAS targets (supported by the nursing and administrative leads).Adopting a strategic approach to the management of all patient services matters.Developing, implementing and embedding an effective communication strategy and marketing the practice appropriatelyEnsuring the organisation maintains compliance with its NHS contractual obligations.Actively encouraging and promoting the use of patient online services.Publishing communications for internal and external use such as an organisation newsletter.Maintaining the organisation and NHS choices websites.Facilitate and organize clinical and practice meetings and maintain up-to-date action plans.Liaising at external meetings as required.Engage with patients and maintain the effective running of the Practice Patient Participation Group.Effectively managing all complaints in line with current legislation and guidance.The management of the premises, including health and safety aspects such as risk assessments and mandatory training.Managing the organisation IT system, delegating staff to act as administrators.Ensuring compliance with IT security and Information Governance.Coordinating the organisation diary, ensuring meetings are scheduled appropriately.Secondary responsibilitiesIn addition to the primary responsibilities, the practice manager may be requested to: as the primary point of contact for NHS(E), ICB, community services, suppliers and other external stakeholders Person Specification Skills Essential Ability to exploit and negotiate opportunities to enhance service delivery Excellent communication skills (written, oral and presenting) Strong IT skills (generic) Excellent leadership skills Strategic thinker and negotiator Ability to prioritise, delegate and work to tight deadlines in a fast-paced environment Effective time management (planning and organising) Ability to network and build relationships Proven problem solving and analytical skills Ability to develop, implement and embed policy and procedure Ability to motivate teams, enhance morale and maintain a positive working environment, including team building sessions Desirable EMIS/SystmOne/Vision user skills Experience Essential Experience of working with the general public.
