YOUIn this FTC role you will be providing first-class PA support to the GB&I P&C Director, GB&I Marketing Director, and Global Head of People Excellence.
YOUR ROLE Complex diary management for multiple diaries - schedule, arrange and monitor appointments, ensuring effective prioritisation and time management across different time zones Act as a point of contact between the business and the Directors Ensure all room bookings are managed for Directors' office days Management travel arrangements - includes frequent global travel Manage and submit expense claims on behalf of Directors via Concur Support with planning of P&C and Marketing Team meetings and events Mange the monthly P&C Team agenda, team roles and build the deck ahead of the meeting Manage the monthly Marketing Leadership Team Agenda Manage the weekly Marketing Huddle Agendas & team roles Point of contact between internal requests and external agencies Ensure all visitors for P&C and Marketing are booked into the building and have a host upon arrival Raise purchase orders for the P&C & Marketing Teams via Coupa Arrange payment for Legal Fees as instructed by People Partners Assist the P&C Team with any large-scale meeting arrangements (People Manager Forums/Company Induction) Track & Manage all spend on the P&C Purchasing-card (Payments, approvals, receipts) Participate as a member of the PA team Plan company wide events with members of the PA Team (Christmas Parties).
WHAT YOU BRING Previous experience within a Personal Assistant Role Excellent IT skills including MS Outlook, Word, Excel, PowerPoint, Teams A self-starter - able to take initiative and work independently Able to deal with confidential information and always maintain discretion Detail conscious, with outstanding planning and organisational skills (priorities, meetings, travel) Meticulous, structured and system oriented A team player with excellent social and communication skills Must be highly organised and have the ability to organise others Builds trust across the Wider business and Senior Leaders Flexible and adaptable Used to working in a fast paced, customer focused environment ABOUT USSuntory is a Japanese company and the world's third biggest player in the drinks industry.
