ABOUT THE ROLE The Office Manager is fully in charge of keeping our London office running smoothly.
Your duties will include being a first point of contact for our EMEA staff and any visitors, managing the office budget, dealing with day-to-day facilities and IT / systems issues and establishing and maintaining policies and procedures to support the above.
You'll also play a huge part in developing the MF culture and brand as you'll oversee our social committee and help organise really fun in-person and virtual internal events.

WHAT YOU'LL BE RESPONSIBLE FOR As our  Office Manager , you'll have some routine check-lists and daily / weekly actions.
However, things at Minor Figures change often, so you'll need to be somewhat flexible with ad hoc projects and event coordination.
Here's an overview of what we'd like you to be doing: Office Management Generally, making the office a second home for everyone, playing an integral part in making it a place where people want to be and establishing and maintaining appropriate policies and procedures to this point Day to day office administration, including mail and packages, welcoming and greeting visitors, opening and locking up as required, and other duties as they arise Managing our cleaners and ensuring they have everything they need, while conducting the occasional tidying in between deep cleans Keeping inventory of all office supplies and ordering more as needed Ensuring fire procedures, risk assessments and health and safety requirements are regularly conducted, updated and communicated Managing our lunch provision / perk, including weekly meal and grocery orders and setup during your working days Culture Champion Organise and manage in-person and virtual meetings and social events with the support of the social committee - this may include global events (summer and winter holiday parties) and regional EMEA events (IRL workshops, ad hoc people and holiday celebrations, miscellaneous 'just for fun' activities) Actively seek opportunities to increase in-person and remote employee engagement via events, meetings and gatherings Role model and champion our MF values across all of your communications and activities Systems and IT Management Manage the distribution, updates, returns, tracking and security of all hardware and software Support the management, organisation and end user training for internal communication and collaboration tools, including Google Drive (shared drives), Slack (groups and channels) and any other business-related communications tools - create, update and communicate relevant policies and procedures related to the above tools Serve as first point of contact for ad hoc questions and IT / systems support for EMEA team, redirecting to our external IT support as required  Regularly evaluate and monitor opportunities for cost savings related to our IT contracts and service agreements ABOUT YOU First up, we hire humans, not machines, so let's look at the key skills we need.
You'll: Be an ambassador of the Minor Figures brand Have a sense of fun, adventure, along with a hands on & a can-do approach.
Not be phased by constant change and challenges and willing to adapt and implement solutions.
Have a willingness to help in all areas of the business when needed.
Have excellent communication skills and self motivation with an ability to grow the role with the business.
Experience wise, let's dive into it.
You'll ideally: Be a positive, energetic, flexible and creative problem-solver.
Like to share your ideas and help others with any and all issues.
Be easy to talk to and encourage people to be open with you.
Have some* experience with IT support / management and event coordination, ideally in a fast growing start up or scale up.
Have some background in coffee / FMCG - this is a plus, but not necessary.

YOUR COMMITMENT For this role, you'll mainly be working from our HQ near Blackhorse Lane in Walthamstow, but we are flexible with the occasional errand or need that takes you away from the location if it helps you do your job to the best of your ability.
If you're looking for 2 days per week (9am to 5:30pm), the best days for us are currently Tuesdays and Thursdays.
If you prefer 4 hours per day, 5 days per week, we're open to mornings (9am to 1pm) or afternoons (1pm to 5pm).
