Job Description The Role To support the Legal, Risk and Compliance function (LRC) by managing the day-to-day administration of the team and assisting with provision of Fastmarkets' company secretarial responsibilities.
The role includes: managing the central LRC team inboxes & updating worklist trackers; assisting the team on projects assisting with provision of Co Sec support onboarding new suppliers managing the processing of invoices and expenses updating budget tracker organising team meetings general legal admin e.g.
arranging extinction and filing of documents.
The role sits in the newly established LRC function within Fastmarkets.
LRC is responsible for managing legal, risk, compliance, privacy, Co Sec and ESG on a global basis across the business.
The General Counsel reports to the CEO and the team is viewed as a genuine business partner, critical to helping the organisation deliver its strategy. Principal Accountabilities Triaging and allocating new matters for review, providing initial guidance where applicable.
Creating template email responses to frequently asked questions, including re-directing matters to other LRC inboxes, confirming our position on third party NDAs.
Providing guidance on LRC team policy/process.
Producing reports of key data from the FM Ask Legal inbox, including number of matters received per month, matters allocated to LOD, percentage increase of matters between months.
Updating our worklist tracker with new matters from FM Ask Legal.
Updating our External Counsel spreadsheet with contact information, outlines of fees and links to engagement letters Sending out sales contract trackers Supporting and managing supplier onboarding through procurement portal.
Liaising with the suppliers to request various information needed for the forms, including contract length, company details and value.
Invoice and expenses raising and processing, budgeting tracking and managing POs General co sec support and admin Filing and general legal admin – document execution, managing team meetings and diaries.
