We have a new and exciting opportunity for a Front of House Assistant to join our Property, Estates and Assets team at LondonEast-UK.
The role holder will provide essential front of house support at our business & technology park located at LondonEast, and will regularly engage directly with our on-site tenants, visitors, new clients, and handle event enquiries to ensure smooth running of workspaces, bookings and events.Duties:General reception and admin duties (e.g.
meet and greet visitors, prepare and distribute agendas, reports, etc.
)Manage incoming mail into the company email accounts ensuring enquiries are responded to and actioned accordingly.
Effectively manage incoming event enquires, coordinate and book meetings, conferences, venues, catering etc as requiredLiaise with suppliers and third parties to ensure requirements are met on all events.Post-event follow up to ensure client satisfaction (escalate or assist with any feedback complaints as needed).
Attend site meeting with potential hosts, take minutes and source costs for event support such as staffing requirements, AV hire and catering.Receive, validate and respond to all incoming work-space enquiriesDraft Heads of Terms documentation and issue to perspective clientsHelp administer onboarding of new tenants Draft, contribute to and circulate the tenant newsletter.Draft quotations and raise requisition orders to the finance team in order to invoice accordingly Qualification, skills & ExperienceBusiness Administration Level 3 qualification or equivalent experience gained in a busy and varied front of house admin roleHighly motivated with a proactive, flexible and responsive approach to workingOrganised and strong attention to detailGood time management, able to confidently manage a busy and varied workloadGood communication skills - ability to confidently deal with internal and external stakeholder (at all levels) including key clients, potential clients and customersGood judgement skills - ability to use initiative to resolve routine issues Excellent attention to detail and accuracyAble to work independently with minimal supervision, but equally able to work as part of a wider team A positive 'can do' attitude and warm personable demeanour IT literate with good working knowledge of Microsoft Excel, Word, PowerPoint, Outlook, TeamsBasic knowledge of or interest in the built environment (property management/landlord & tenant) would be advantageousWorking arrangements Part timeMonday to Friday with core hours of 9 am – 3 pm (with some flexibility to do additional hours on occasion)Based on site in Dagenham.
