Executive Assistant

The Role: Reporting into the Co-CEO's, the Executive Assistant focuses on supporting in all business and administrative tasks.
The successful candidate should have strong interpersonal and telephone skills and the ability to multitask whilst being highly organised.
Job Duties: - Coordinating and arranging international travel, accommodation and visas.
- Managing expenses in line with budgets and policy.
- Manging multiple diaries, including coordinating business meetings and functions.
- Recording minutes in meetings.
- Maintaining and monitoring budgets and expenses.
-  Compiling business presentations, including PowerPoint presentations, graphs and statistics.
- Overseeing business communications, drafting memos and SOPs.
- Supporting the Executive Team in all business-related activities.
- Track and report on Executive privileges.
- Maintaining company databases and contact details.
- Purchasing office supplies where required.
- Purchasing employee gifts including long service awards.
-  Supporting the planning and execution of company events.
- Responsible for organizing all shipping needs, i.e.
Fed Ex, UPS, etc.
- Responsible for ordering and distributing office supplies.
- Ability to communicate with all levels of the team.
- Assistance with daily errand and tasks as required.
- Any ad hoc duties as reasonably requested.
Job Requirements - Self-motivated, able to take initiative and use sound judgement in day-to-day decision making.
- The ability to work independently and be readily available when required.
- Exceptional attention detail.
- Professional, courteous, reliable.
- Outstanding organizational and communication skills.
- Flexibility within their schedule to support across multiple time zones.
- Ability to keep complete confidentiality within the HR Department.
Professional Requirements: - 4+ years of experience in an Executive Assistant role (or similar).
- Experience within hospitality is desirable.
- Extensive knowledge of all Microsoft office software.
- Tech savvy.
