Job summary Join Our Team as an Evening Doctor's Receptionist in our newly refurbished premises.Are you an experienced receptionist with a passion for delivering exceptional customer service?
Claremont Clinic is seeking a dedicated individual to join our bustling practice team in making a positive impact on our local community.Position Details:Salary: £ per hour (with a minimum of 1 years experience in a primary care setting)Hours:Permanent Post x 2 (afternoon/evening)- 30 hours per week Monday to Friday 1:00pm to 7:00 pm Main duties of the job To ensure the smooth running of the reception desk in a professional and organized manner.
To be the focal point of the surgery and to act as a liaison between patients, clinicians and other members of your practice team and to provide a high standard of customer services at all times.We would welcome applications from organised, adaptable, and friendly individuals who are keen to help us provide high levels of customer service: Previous GP receptionist experience required at least 1 year.
You will have excellent communication skills with a clear and polite telephone manner.
You will work in a polite, confidential and discreet manner, respecting patients at all times.
You will have experience of working with the general public, being sensitive and empathic in distressing situations.
You will be confident to work as part of a team and be able to think on your feet independently.
Strong IT and administration skills.Some flexibility is required as you will sometimes need to work additional/alternative hours to cover for colleagues during annual/sickness leave.Key Responsibilities: Ensure the smooth operation of our reception desk with professionalism and organization.

Greet all patients on arrival ensuring allpatients are checked in either manually or via the patient touch screen2.
To answer the telephone dealing with orredirecting enquiries.3.
To handle all face to face general enquiries,referring where necessary.4.
Make new and follow-up appointments includingbooking language line 5.
To be responsible for the call and recall ofpatient lists as instructed by practice manager including the recall for immunization/smear targets and test recalls.6.
Responsible for dealing with messages frompatients/clinicians or external bodies.
To take appropriate action whererequired.7.
Generate electronic/online repeat prescriptionrequests and allocate as instructed.
Prepare repeat prescriptions following practice protocol and set out forverification and signature of doctor.8.
Record requests for home visits and ensure thatthey are recorded and passed onto the duty doctor on call9.
Register new patients following practicepolicy including enabling secure online access to patients medical records,including booking patients for new registration health checks.10.
Be able to manage the GP links processincluding registrations, amendments, rejections, deductions FP69, FP22, and anyother tasks required.
Contacting PCSE to request urgent medical records.11.
Open mail and distribute as appropriate.
Leave private, confidential and personal mailunopened in Practice Managers tray as directed.12.
Maintain the administration of the cytology(responsibility of sending off completed deferral smear forms).
Ensure that the childhood immunisationstargets are kept up to date (including chasing childhood vaccinations fromvaccination UK).

Scanhospital reports and letters.
Ensuring that the scanning of patientscorrespondence is kept up to date at all times.
Helping the filing clerk to keepup to date with her scanning workload.14.
To carry out patients/GP Registrar surveys 15.
Complete and enter on computer appropriate GMS3(Temporary Services) forms.
Renewexpired forms as necessary.16.
Maintain computer database including thepatients PDS records.17.
Ensure that the External and Internal EMISweb email account is viewed on adaily basis and the Workflow (WF) tasks are completed appropriately.
Logoutgoing post/mail as necessary and take responsibility of posting at the endof the day.18.
Take responsibility of the daily incomingelectronic document management & the online consultation forms 19.
Offer all services to patients including,extended opening hours & Community Pharmacy Consultation Services (CPCS)and any future new initiatives.20.
Enter appropriate read codes as instructed bypractice.
Which would include admin coding as well coding for QOF/SNS.

Ensure that there is enough supply ofstationary in all consulting rooms.22.
Ensure thatall clinic attendance appointments are confirmed prior to appointment date as per allocationof tasks.23.
Assistin the administration of the patient e-referral system.
Manage the day-to-day clinicians worklists.24.
Trained staff to ensure that the diabeticrecall for clinics is kept up to date including the searches and that letters/blood testsare sent to patients as instructed.25.
Ensure that the telephones are turned on andswitched over to the out of hours service as Appropriate.26.
Leave reception area tidy and ready forincoming colleagues.
Use the EMISweb function as instructed to communicate any outstandingqueries to colleagues 27.
Staff working in the evening, to make sure thatthe premises are fully vacated by patients via checking public areas.
Ensuring that thepremises are securely locked including Windows and to turn on the securitysystem if last person to leave the premises.
28.
Undertake any other duties as instructed bymanagement.This job descriptionmay need to be reviewed or revised from time to time as the practice develops.ConfidentialityAnyinformation about patients, personal or medical must be regarded as strictlyconfidential.
