As a Despatch Administrator, you will manage the end-to-end customer order process—from order entry to invoicing—ensuring seamless communication, on-time delivery, and an exceptional customer experience.
You will serve as the dedicated point of contact, coordinating with internal teams and external partners to meet and exceed customer expectations.
Key Responsibilities: • Act as the primary contact for customers, ensuring their experience is smooth and professional from order confirmation to delivery.
• Coordinate order timelines, aligning first customer promises with material and production availability.
• Maintain accurate data, including delivery details, payment methods, shipping documentation, and invoices.
• Ensure timely delivery and invoicing, keeping customers informed of progress or delays.
• Oversee transportation arrangements and ensure all necessary documents accompany shipments.
• Monitor and report performance metrics, addressing issues and escalating as needed.
• Work collaboratively with internal departments (sales, procurement, production) to resolve challenges quickly and efficiently.
What We're Looking For: • Proven experience in customer service and office administration (essential).
• Knowledge of dispatch and freight forwarding processes (desirable).
• High attention to detail with exceptional time management and organizational skills.
• Proficiency in ERP/MRP systems (SAP Business One preferred) and Microsoft Office (Excel, Outlook, Word, PowerPoint).
• Strong interpersonal and communication skills, with a collaborative mindset.
• A positive, proactive attitude and a commitment to continuous improvement.
