Provide support to the office and assist with facilities on day to day issues which arise.Primary DutiesMeet and greet all visitors in a professional, welcoming and friendly manner, ensuring all visitors are signed in, in accordance with health and safety regulationsAnswer all internal/external calls promptly on computerised switchboard, transfer calls/take detailed messages as requiredOversee meeting room schedules, make bookings when requested and resolve meeting room conflicts accordinglyOrder catering/lunch for on site meetings as requested by the meeting facilitatorSort all incoming post and faxes and distribute to members of staffReceive and sign for deliveries and arrange/handle collectionsFrank outgoing post and prepare recorded and special deliveriesResponsible for ordering, monitoring and replenishing all office supplies and stationeryRequest maintenance and report faults for office equipmentUse(CRM) system to support enquires and provision of informationOversee events diary and keep up to dateLook after internal library of publicationsMonitor enquiries and all meeting rooms inboxesUndertake a proactive role to ensure the smooth running of the officeSecondary DutiesResponsible for staff annual leave/sickness, record and file leave requests, update excel spreadsheet and staff leave calendarAssist with staff eventsSkill setAbility to communicate with people at all levels confidently and professionallyPolite, friendly and well spokenKnowledge and proficiency in Microsoft Outlook, Word and ExcelPrevious reception/front of house experienceSelf motivated and using own initiativeExcellent time keeping skillsProactive approach to workExcellent organisational abilityAttention to detailAbility to multitask and prioritise workloadKnowledge of Microsoft Office requiredKnowledge of Cisco - switchboard system
