2-3 months contract with a Local Authority Job Summary: Provides customer focussed Parks and Leisure services through ensuring the effective delivery of the Arboriculturally Contract, divisional performance reporting, effective budget monitoring and responsible for stakeholder management through customer enquiries and complaints.
Takes responsibility for coordinating business activities and establishing systems, on behalf of the division and senior management, to help the team work better and smarter to ensure high quality customer service is delivered in accordance with the Council's policies.
Key Duties/Accountabilities (Sample): Acts as a first point of contact for all enquiries including those from Members of Parliament, Councillors and stakeholders coming into the Division including ICW and FOIs.
Developing effective links and working relationships to respond.
  Responsible for ensuring that these are responded to within the corporate timescales.
Reporting to the division on performance against correspondence targets.
Contributing to the successful delivery of the Arboriculturally Services Contract including ensuring effective contract management through the issuing of works and ensuring the contract is meeting specified schedules.
Leads in the rollout of new procedures relating to the Council's business systems, with a particular emphasis on exploiting benefits of IT, providing guidance to senior managers.
Responsible for the preparation, presentation of information as and when required including the provision of technical and non-technical reports.
Contribute to the management and monitoring of budgets and responsible for processing of payments to contractors.
Provides coordination and processing role regarding Divisional finance with regards to the ordering of supplies, raising of purchase orders and the processing of invoices on behalf of service managers.
Does this efficiently with a high degree of accuracy and recommends improvements to systems where appropriate.
Provides a meeting and events service for senior management; co-ordinating attendance where numbers are significant, preparing agenda, briefing papers, electronic distribution of papers, minutes, pursuing follow up actions.
Seeks out and provides advice and guidance to senior managers on operational policies and business systems, providing details or liaison with appropriate support functions – finance, HR, facilities and office supplies – on behalf of senior managers.
Works on behalf of senior managers to collate and cascade information –in response to individual issues but also information needed for divisional management decision making and performance management.
Ensures that a central 'information' hub is created so that information can be readily found.
Develops effective links and working relationships in order to co-ordinate and collate the business unit input to the forward plan, council plan, and departmental monitoring systems ensuring that items are updated accordingly.
Responsible for communications with staff within the entire business unit, ensuring that all relevant policies and senior management decisions are filtered down accordingly and co-ordinates feedback on behalf of the business unit.
Responsible for external communications with key stakeholders.
Research and compiles information in response to direct enquiries and prepares briefing papers for service managers on key issues.
  This may include the collation of statistical data and related analysis.
Skills/Experience: ·          Knowledge and understanding of the importance of parks and trees an inner-city environment.
Setting up and maintaining administrative systems and complex records.
Liaison with internal and external individuals and organisations on administrative issues Using a range of IT packages including word and excel and other packages for presenting information to a high standard.
Enjoy being organised and administrative tasks and the ability to plan and prioritise a heavy workload.
Be able to use research and statistical data and computer applications to prepare complex and statistical reports.
Preparation of financial or numerical information.
Ability to work flexibly, independently and as part of a team, doing what is required to get the job done to a high standard.
Ability to define problems and produce innovative solutions against financial constraints.
Ability to communicate effectively both orally and in writing with a wide range of people including members, senior officers, community representatives.
Be able to successfully negotiate partnerships and to 'sell' ideas.
Be able to represent the unit both within the Council and externally.
Enjoy being organised and administrative tasks and the ability to plan and prioritise a heavy workload.
Be able to use research and statistical data and computer applications to prepare complex and statistical reports.
Additional Information: Hybrid – 2- 3 days per week within office – open to discussion with the right candidate.
