Venue Programming Assistant

PRIMARY PURPOSE OF THE ROLE:Under supervision of the Head of Venue Programming, manage the administration of the Arenas calendars.
Respond to availability requests from event organisers, hold dates and provide administrative support to the team throughout the booking, confirmation and on sale process.
In addition to this, provide administrative support to the Event Ticketing Managers throughout the onsale process through to show delivery.KEY RESPONSIBILITES: Maintain strong relationships with the Venue Programming team and wider Arenas team, offering daily support and proactive forward thinking approach.Assist external customers with venue availability, holding dates on the internal booking system as required in a timely manner and ensuring the calender is always kept up to date.Assist the team with site tours, requests for after shows and general promoter requests including suite hire, VIP parking and house seat/ticket purchase requests.Assist with the administration of raising licence agreements.Build and maintain trusting and productive relationships with promoter assistants and where appropriate promoters, to provide a client focussed and friendly service.Disseminate confirmed event information across group departments to inform and educate departments on upcoming events, in-turn initiating work tasks.Assist with the administration of chasing signed venue contracts prior to the onsale date.Develop strong internal relationships with all other group commercial teams to look for new opportunities to grow the business.To lead on the selling in, onto the Venue reporting system, of all external agents sold tickets on a weekly basis.Support the arenas ticketing team in the organisation of the shared inbox, ensuring emails are filed and actioned in a timely manner.Produce seat sold plans for promoters and internal stakeholders.
