Apple Recruitment are recruiting for a Support Officerto work on a temporary basis on behalf of our client, The Regulation and Quality Improvement Authority (RQIA), and be based in the Belfast area.
Main duties and responsibilities: Service Delivery Responding to incoming calls received into RQIA, collating, recording and storing information on RQIA systems.
Providing timely and accurate needs.
Sharing information with, and directing requests, to appropriate staff across the various Teams in RQIA.
Escalate further action, areas of concern, safeguarding, child protection that may pose a risk to those who use the services which RQIA inspects and reviews.
Create and maintain rotas, manage absences and ensure appropriate cover arrangements are in place where required, escalating any gaps.
Manage the relevant mailboxes and triage any calls received via voicemail and email.
Provide support for recruitment, induction and co-ordination of the Inspection Support Volunteer Programme, working alongside operational teams, in line with the policy and procedure.
Provide administrative support, to include administering meetings and follow-up actions, as required, to the Office of the Chair and Chief Executive.
Maintaining the effective administration of relevant systems (both manual and electronic), ensuring that these are regularly updated and information is recorded to a high standard.
Preparing and compiling reports and statistics for those functions which the postholder is responsible for delivering.
Ensure any risk or governance issues are dealt with immediately, escalating as appropriate.
Responsibility for ensuring compliance with records management requirements and working with the line manager and Head of Corporate Affairs to establish and maintain an integrated records management system.
Collaborative Working / Key Working relationships To identify and escalate risks appropriately at all times.
To work with RQIA staff to co-ordinate work plans and meet deadlines.
To work collaboratively with RQIA colleagues to ensure standardisation of approach and quality of practice.
To work with RQIA Inspection Support Volunteers, providing induction and refresher training and offering appropriate guidance and support.
Communication and Information Management To record findings in line with agreed policy and procedures.
To identify and report on themes and issues arising to inform organisational priorities, projects, audit and all other service reporting and accountability as required.
To receive information from callers (members of the public and healthcare staff) in relation to issues which may be sensitive, confidential and complex and record same appropriately.
To provide appropriate information, signposting and guidance to callers, ensuring a reassuring and empathetic approach is taken, particularly for those callers who may have communication difficulties.
This may include persuading the caller of the best course of action to address their issue.
To capture patient and service user experience regulation intelligence.

GCSE Maths and GCSE English (A-C) OR equivalent qualification to demonstrate literacy and numeracy OR higher qualification AND 2 x A Levels or equivalent qualification OR 1b.)
Higher Qualification AND 18 months relevant experience in compliance or audit or service improvement or regulation OR 1c.)
A minimum of 3 years relevant experience, in compliance, audit, service improvement or regulation 2.)
Essential skills and knowledge: Ability to assess and evaluate services in line with Regulations and Standards.
Ability to develop self to enhance performance and participate effectively in a team.
Ability to communicate effectively and sensitively with service users and stakeholder groups, including the delivery of positive and negative feedback.
Ability to plan, allocate and evaluate work for self and in collaboration with others.
Ability to manage, analyse and evaluate information to aid effective decision-making.
Experience of the use of technology and IT packages.
For example, Microsoft Word, Outlook, Excel, Powerpoint.
A basic knowledge of the regulatory environment of the HSC in Northern Ireland.
Desirable Criteria: 1.
Demonstrate a working knowledge of risk management.
2.
Demonstrate your knowledge and understanding of the RQIA.
