About You: You are an enthusiastic adopter of change and open to handling any task that is given to you.
Experience in managing office and system environments is a plus, but the ability to learn new systems and be proactive in delivering great service is a must.
We are looking for a person who works well in teams, is able to build trust, and is focused on delivering a high level of service to the business.
You must be familiar with Microsoft products and be able to administer systems after training.
A focus on confidentiality is essential as this role interacts with all levels of the business across multiple task types.
Office Environment Ensure the studio is kept neat and tidy, staying on top of document shredding and archiving Manage studio care list Liaise with suppliers to set up standard maintenance or upgrades as required Maintain and order studio supplies and project materials as required Set up office for external meetings on an ad hoc basis Team Support Proofreading (proposals, project presentations) Maintaining online and offline databases across all operational functions Support weekly studio comms (gathering assets, proofreading, scheduling posts etc.)
Diary Management (For Board) Proactively schedule internal and external meetings through diary management, building good working relationships with appropriate external PA's and support staff Book meeting spaces as required Schedule meetings (in person, video conferencing, phone calls etc.)
as requested Update diary and studio schedule Provide all necessary details ahead of meetings and ensure information is included in calendar entries (attendees, Zoom details, dial-in details, agenda (provided by PM) etc.)
Travel Organize required company travel as required to set policies and procedures Phone, Suppliers, Deliveries, and Visitors Answer and redirecting phone calls + passing on messages Meet and greeting visitors Arrange couriers and deliveries + collecting and distributing post IT & Office Facilities Communicate with external support (IT, phones, Somerset House + Circus Mews maintenance, cleaners etc.)
Manage tech-related issues and ensuring all software and hardware work smoothly Keep an up-to-date database of all hardware and software in the business.
Function as a super user and product champion for key business systems support and roll out (training to be provided) HR/Culture Manage onboarding and exits of employees to include setting up hardware, software etc Help to arrange cultural and social events Manage employee leave systems Special Projects Where projects are identified pertaining to the Studio that need administrative support, be involved to support.
