Job summary The Deputy Manager will be a key member of the management team deputizing for the General Manager of Decontamination and Sterile Services, with specialist knowledge of decontamination processes and quality systems.
Working under the direction of the General Manager they will provide assistance and support the departments in the operation of service delivery.

Please see attached TCS for reference Main duties of the job The post holder will have direct responsibility for the delivery of the departmental Quality Management System to ISO 13485:2016 standards covering the full decontamination of bespoke sets of instrumentation and individual items of surgical equipment.
Attending the departments audits and formulating action plans for any corrective actions, developing the departmental policies and procedures and communicating the content to the teams.Working with the General Manager to deliver the service to the Trust SLA's, contracts and KPI requirements, attending meetings with service users and manage service delivery.Responsible for handling customer complaints and both in process and end product non-conformance incidents are dealt with promptly and efficiently.

With the department based across the two acute sites the teams are joined under the same management team.

Job description Job responsibilities KEY RESULT AREAS1) Deputize and support the General Manager with the day-to-day running of the two departments for production and operational aspects of the service delivery.2) Work across the two sites and to provide professional leadership that inspires and motivates the team.3) Work with the General Manager to deliver the service to the requirements of Trust SLAs, contracts and KPI requirements.
Attend meetings with service users and manage service delivery.4) Responsible for the delivery of the departmental Quality Management System to ISO 13485:2016 standards covering decontamination, disinfection, packing and sterilization of bespoke sets of instrumentation and individual items of surgical equipment.5) To complete scheduled internal audits and attend any departmental Quality Meetings6) Attend the department audits and formulate action plans for any corrective actions.
Develop the Departmental Policies and Procedures and communicate the content to the teams7) Manage the SSD Operational and Production Managers to ensure end users receive their equipment within agreed turnaround times and support for any staffing issues.8) Provide communication to the service users and other relevant services to ensure the safe delivery of reprocessed medical equipment.9) Plan, organise and deliver department meetings.
Prepare meeting notes and raise any areas of concern to the General Manager.10) Analyse data from information systems to produce charts, reports and power point presentations for department meetings.11) Participate in the implementation, development and complexities of the departmental contingency plans and be prepared to make decisions for unplanned problems.12) Support the General Manager with staff disciplinary processes by investigating staff issues as they arise when appropriate and liaise with HR to ensure Trust policies are adhered to.13) To be superuser for the HESSDA tracking system, to arrange staff training and ensure SLA and Version control are latest editions.
Produce accurate data reports and include the relevant information is assigned to the system , Manufacturer information.14) Responsible for handling customer complaints, and both in-process and end product non-conformance incidents, are dealt with promptly and efficiently.
Where-so able these should be dealt with on an informal basis and when required should be escalated to the General Manager.15) To undertake project work which may involve multidisciplinary team working with clinical and non-clinical staff, and carry out other tasks or duties as delegated by SSD Management, commensurate with their grade and post.16) Plan and organise own workload to meet deadlines and negotiate with suppliers and customers with regards to costs, product information and availability, and where necessary obtaining best quality and value for money in accordance with the standing financial instructions.17) Responsible for reconciliation of ordered goods against delivery notes, and verifying delivery notes in order to receipt against the electronic order enabling invoices to be paid by creditor payments promptly.
Where necessary exercise own judgement to take action to follow up outstanding orders, damaged goods and stock deficiency direct with the suppliers.18) Analyze complex contracts and department budget information regarding pay and non-pay ensuring the budget remains within the agreed financial figures.19) purchasing medical equipment and with support from procurement set up contracts for consumables and service agreements.20) Responsible for dealing with enquiries and setting up new services with logistical support to Surgeries and Health Centres, raising invoice requests on a regular monthly basis for payment of service.21) To lead in the effective recruitment and selection of staff adhering to Trust policies and processes to ensure the right standard of personnel are recruited in accordance with employment legislation.22) To lead on the performance and development of staff, manage staff mandatory training requirements and provide direction and appropriate levels of training.
Identify training needs through the use of Departmental Competencies Assessments and Trust Policies & Procedures.23) Responsible for communication with the Trust transport team for effective collection and delivery of services.24) Responsible for the departmental staff appraisal program to confirm that staff receive an annual performance appraisal review and be accountable for the appraisal audit.25) Accept responsibility as the authorised user for the correct functioning, testing and commissioning of washing and sterilization plant to ensure that all equipment is working to nationally established standards.
Report any breakdowns or failures to the Senior Support Manager and Estates lead via the electronic reporting system.26) To carry out all other appropriate duties as may be required from a manager which are consistent with the responsibilities and duties of their grade.
Person Specification Qualifications Essential Supervisory or Leadership Management Qualification Level 5 or above ISO 13485:2016 Internal Auditor or above Health & Safety Qualification (IOSH/NEBOSH or equivalent) Formal recognized auditor qualification or achieved within 6 months Trained in Recruitment and Selection Processes Experience Essential Demonstrate ability to maintain the QMS according to the ISO 13485:2016 National standards Extensive Practical experience of working in a Sterile Services environment and have knowledge of sterilization/decontamination technology and theatre protocols To identify training needs - arrange and deliver specific training including supporting SSD staff with completion of training programs Ability to communicate effectively with a range of people in written and verbal formats and the ability to handle sensitive or confrontational situations Ability to work in a pressured environment with tight deadlines whilst prioritising workload to high standards in all aspects off work Knowledge/ Skills Essential Good organisational skills with the ability to manage a range of issues.
Ability to work on own initiative independently and as part of the management team.
Experience of staff management and adapt the departmental rotas to maintain production across the sites Computer literacy with good keyboard skills familiar with Microsoft Office, internet, intranet, emails and Teams Knowledge of Health & Safety, Manual Handling, Risk Management and COSHH To be able to demonstrate dexterity and ability to work in a methodical and systematic manner
