Vanrath are recruiting for a Senior Administration Assistant on behalf of a large public sector body in Lisburn on a temporary basis.

22.5hrs per week (Rota will be Tuesday, Wednesday & Thursday 9.00am - 5.00pm) Temporary £14.17ph About your next employer The successful applicant will provide comprehensive administrative support to the Environmental Services Department, enabling efficient and effective service delivery in line with council objectives.
This role includes supervising administrative tasks, coordinating office functions, supporting departmental projects, and ensuring exceptional service to residents and stakeholders.
What you'll do Administrative Support and Coordination Manage and process departmental correspondence, data entry, document preparation, and records management in line with council standards.
Organize meetings, prepare agendas, take minutes, and distribute documentation as required.
Support the department in preparing reports, presentations, and other official documents.
Team Supervision Lead a small team of administrative staff, offering guidance, training, and mentorship as needed.
Delegate tasks within the team, manage workloads, and ensure all tasks are completed accurately and on time.
Assist in onboarding new administrative team members and overseeing professional development.
Stakeholder and Customer Liaison Act as the primary contact for incoming queries, complaints, and requests from the public, council members, and other stakeholders.
Resolve or escalate complex or sensitive queries, ensuring a high level of service.
Coordinate communications between departments to maintain smooth workflows.
Project Assistance and Process Improvement Assist with departmental projects, organizing events and initiatives, coordinating resources, and tracking progress.
Identify and propose improvements to administrative processes and office systems, contributing to enhanced efficiency and compliance.
Data and Document Management Ensure accurate handling, storing, and sharing of information in compliance with council policies and data protection laws.
Support data entry, report generation, and distribution of data across departments as required for council initiatives.
About you GCSEs in English and Maths (A*-C) or equivalent.
Sound knowledge of office management and general administrative practices.
Understanding of data protection, confidentiality, and public sector service standards.
