Job summary Weare looking for a Receptionist to join our friendly surgery.
Thisexciting opportunity has arisen in our Reception team, so if you are lookingfor a new challenge then we would love to hear from you.
Full training will begiven to the right candidate.
Main duties of the job Tobe responsible for undertaking a wide range of reception duties and to provide generalsupport to the multidisciplinary team.
Duties can include, but are notlimited to, greeting, and directing patients, answering incoming phone calls, effectiveuse of the appointment system, booking appointments, processing information,and assisting patients as required.
Toact as the central point of contact for patients, to distribute information,messages and enquiries for the clinical team, liaising with multi-disciplinaryteam members and external agencies, such as secondary care and communityservice providers.

We have a dedicated team of staff, providing a range of services including Enhanced evening appointments.

This will be dependent upon factors such as workload and staffinglevels:a.Maintainand monitor the practice appointment systemb.Processpersonal, telephone and e-requests for appointmentsc.Answerincoming phone calls, transferring calls or dealing with the callers requestappropriatelyd.Signpostpatients to the correct servicee.Initiatingcontact with and responding to, requests from patients, team members andexternal agenciesf.Codedata on the clinical IT systemg.Photocopydocumentation as requireda.Dataentry of new and temporary registrations and relevant patient information asrequiredb.Inputdata into patients healthcare records as necessaryc.Directrequests for information, , SAR, insurance/solicitors letters and DVLAforms to the administrative teamd.Manageall queries as necessary in an efficient mannere.Carryout system searches as requestedf.Maintaina clean, tidy, effective working area at all timesg.Monitorand maintain the reception area and notice boardsh.Supportall clinical staff with general tasks as requestedSecondary Key ResponsibilitiesInaddition to the primary responsibilities, the Receptionist may be requested to:a.Partakein audit as directed by the audit leadb.Supportadministrative staff, providing cover during staff absencesc.Actionincoming emails and correspondence as necessaryd.Scanpatient related documentation and attach scanned documents to patientshealthcare recordse.Completeopening and closing procedures in accordance with the duty rotaf.Tosupport in the management of repeat prescriptions, ensuring they are processedaccurately and efficientlyg.Orderand monitor stationery suppliesh.Produce,maintain and participate in the receptionist rota for lunch and out of hourscoveri.Deputiseand support during periods of absencej.Supportreception staff development, providing guidance and direction, ensuring staffare up to date with mandatory trainingk.Identifyand provide team training where requiredl.Supportin producing and maintaining the duty rotaa.Supportthe Practice Manager with all Patient Participation Group related mattersb.Supportthe health promotion lead and display promotional material on the allocatednoticed boards and in the waiting room Person Specification Qualifications Essential Educated to GCSE level or equivalent Desirable GCSE Mathematics and English (C or above) AMSPAR Receptionist Qualification NVQ Level 2 in Health and Social Care Experience Essential Experience of working with the general public Desirable Experience of administrative duties Experience of working in a healthcare setting Personal Qualities Essential Polite and confident Flexible and cooperative Motivated Forward thinker High levels of integrity and loyalty Sensitive and empathetic in distressing situations Ability to work under pressure Flexibility to work outside of core office hours Disclosure Barring Service (DBS) check Skills Essential Excellent communication skills (written and oral) Strong IT skills Clear, polite telephone manner Competent in the use of MS Office applications Effective time management (planning and organising) Ability to work as a team member and autonomously Good interpersonal skills Problem solving and analytical skills Ability to follow policy and procedure Desirable Clinical IT system user skills (Systmone)
