Job Description: Our reception team members' duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards. The role sits within the Sourcing teams and reports into the Facilities Manager. Please note this role is fully onsite in our London office (5 days per week). Responsibilities include: Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately. Answering, screening, and forwarding incoming phone calls. Preparation, sending, receiving, and sorting all daily correspondence including couriers and collection of mail from the Building Reception. Supporting the Office Facilities Manager and the Facilities Director. Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures). Provide basic and accurate information in person and via phone/email. Build strong and effective working relationships with all stakeholders. This role will support our key leadership as well as UK office employees. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges). Order front office supplies and keep inventory of stock including managing of stockroom. Calendar management for key stakeholders and office events. Support the facilities team for invoicing & purchasing. Ensure all meeting rooms are clean, fit for purpose and maintained to a high standard. Keep updated records of office expenses and costs. Perform other clerical reception duties such as filing and photocopying. Requirements and skills: Proven work experience as a Receptionist, Front Office Representative, or similar role. Proficiency in Microsoft Office Suite. Hands-on experience with office equipment (e.g. fax machines and printers). Professional attitude and appearance. Solid written and verbal communication skills. Ability to be resourceful and proactive when issues arise. Excellent organizational skills. Multitasking and time-management skills, with the ability to prioritize tasks. Excellent customer service attitude. School qualifications: additional certification in Office Management is desirable. Manual handling. Health & safety awareness.
