To Apply for this role please click here: Property and Asset Management Administrator The Opportunity: We have an exciting opportunity for a Property and Asset Management Administrator to join our team.
Playing a key part in ensuring the team provides a high-quality, customer-focused service, you will deal with general enquiries and manage the customer enquiry team email inbox, dealing with routine enquiries and forwarding others to the relevant officers.
You will also input data from authorized trigger events, run reports, update changes in property on the GIS system and monitor rental information, raising anomalies with surveyors and ensuring changes are made.
You will maintain accurate records of rent deposits, support the return of funds and take responsibility for raising purchase orders and checking invoices, along with arranging appointments and meetings, maintaining the Asset Management internal and external website pages, making sure information on both is accurate and up-to-date.
Experience: With excellent IT skills, along with demonstrable experience of using Microsoft Word, Excel and PowerPoint, you will have the ability to work under pressure to meet deadlines.
You will also have great communication and organizational skills and the ability to work both as part of a team and on your own initiative, with a flexible and proactive approach to your work.
Accountabilities: To input data from authorised trigger events into the Councils Database and Asset Schedule - to run reports to check data is accurate.
To update changes in property on the GIS system.
To monitor rental information as accurate by checking debtors reports, checking payment runs, raising any anomalies with the surveyors and ensuring changes are made.
Maintain accurate records of rent deposits and support return of funds when authorised.
To maintain the Asset Management page on the Councils external and internal web site, arranging for authorised data to be input and accurate.
Responsible for raising purchase orders and checking invoices, liaising with the budget holder to ensure prompt payment is raised, raising credit notes as necessary.
Managing correspondence including monitoring the property asset management email enquiries, dealing with routine enquiries such as land ownership, and or forwarding correspondence to the relevant officer.
Overall responsibility for the Service filing system including scanning.
To support the retrieval of information for the annual asset valuation programme, providing information for finance and audit.
Retrieve files from the archive, monitor archive records.
Answer general enquiries whether in person or on the telephone.
Manage inventory of office supplies, including stationery and equipment to ensure stock maintained and items reordered when necessary Arrange appointments and meetings internally and externally, on behalf of other officers.
Overall responsibility for booking keys in and out of the service and maintain up to date list of keys held by the service.
Support the Head of Service with administration of PAM Strategic Board attendance, action notes, property records, making appointments and maintaining records.
Format Council letters and reports to meet agreed templates and standards.
