The postholder willensure smooth running of two key Sussex Training Hub programmes, including capturing data and providing regular reporting on the programmes, The programmes will include:Sussex Mentoring ServiceSussex Retention in General Practice Learning Set ProgrammeAs the post holder you will be responsible for managing the delivery of programmes to support the Sussex Training Hub including the Sussex Mentoring Service and the Learning Set programme.
You will also have a significant role in supporting the planning and delivery of the Sussex Educator Conference.

You will also have a significant role in supportingthe planning and delivery of the Sussex Educator Conference.Thisis a project management role and a background in project management and Prince2 or another Project Management process is desirable.You will have organisationalline management support provided by ABC CIC as your employer and professionalsupervision provided by Sussex Training Hub who oversees the workstreams youwill be delivering.

Job description Job responsibilities Planning of projectsDevelop programme plan for delivery of all areas of work over the year using appropriate formatProject Delivery Ensure week to week delivery of programme in line with outline plans, mitigating for any issues which may cause delay wherever possible and escalating any issues outside of immediate control Establish effective communication mechanisms to ensure good uptake of all programme Use feedback to improve and finesse programmes offered Work with GP Tutors to ensure effective use of their time and that a broad range of support is available to GPs.Project Review Collect data as per the service specification to fulfil quarterly reporting requirements Keep all reporting systems up to date to ensure live reporting and checking that programmes will meet KPIs Programme Detail1.
The Sussex Mentoring ServiceThe Sussex Mentoring Service (SMS) offers a limited number of mentoring sessions with trained mentors to multiple professionals in Sussex.
Mentors are recruited, trained, and commit to a recognised standard of mentoring practice.
Mentors receive a fixed payment to cover preparation, session delivery and any other expenses arising from the session.
Mentors can only deliver the number of sessions per month that have been agreed by Sussex Training hub (STH).a.
Mentees apply to receive mentoring by completing an online application.
The programme aims to match mentees with a mentor from the same profession.
If the number of mentees exceeds the number of mentor sessions available, or an appropriate mentor is not available, mentees are put on a waiting list.b.
Sussex Mentoring Service delivery requires: Promotion of Sussex Mentoring Service and recruitment of mentees A data-secure system to hold mentor and mentee details.
Mentee applications to be processed.
Mentor and mentee introductions to be made.
Monitoring of mentoring sessions for each mentor Evaluation of the SMS by each mentee Processing of mentor financial claims Organisation of mentor CPD Quarterly reporting of session activity, evaluation response and financial position to Sussex Training Hub.2.
Sussex Retention in General Practice Learning Set programmeIt is planned to deliver up to ten learning sets across Sussex that will be run monthly by a GP who will lead the session.
GPs who lead learning sets will be paid £ to cover all costs related to the session.
This programme is a core aspect of activity by Sussex Training Hub in Sussex to support recruitment and retention of the primary care workforce in Sussex.a.
Sussex Retention in General PracticeLearning Set programme requires: Administrative support for GP Tutors up to 8 hours per month Supporting the delivery of the Retention in General Practicelearning sets across Sussex.
Development of an agreement to outline the reporting and financial responsibilities of each GP facilitator.
Collating monitoring information for each learning set: date of session, number of attendees, Learning Set facilitator.
Developing and implementing an evaluation process for the learning setsb.
Financial monitoring and process: processing of claims from learning set facilitators: reminding facilitators to submit claims; processing claims for payment; monitoring expenditure of Retention in General Practice learning set budget.c.
Quarterly reporting of learning set activity, evaluation, and financial position to Sussex Training Hub.3.
Support for the delivery of an annual Sussex Educator Conference The first Sussex Educator Conference was held in June 2024.
Over 100 educators attended a one-day conference.
A conference planning team supported the conference leads to administer the conference.
Delivery of an annual Educator Conference requires: Convening regular meetings of the Educator Conference Planning Group with leads Maintaining an Action Log and Job list to track activity.
Undertake administrative duties to support the organisation and delivery of the conference, including invitations, monitoring attendance, agenda, delegate pack, venue and catering booking, delivery of technical support on the day, venue set up.4.
Support of General Practitioner Assistant Programme.Work alongside Sussex Training Hub Lead for GPA programme to support the programme and financial management.
Person Specification Experience Essential Minimum 2 years of working within the Health Service or allied profession Experience of working with range of professionals including senior clinicians Desirable Experience of working in a primary care setting Other Essential Champion of equality and valuing diversity Operates at all time in line with Confidentiality and Data Protection Act and NHS Information Governance Requirements Qualifications Essential Degree level education or equivalent Project Management training or qualification, or equivalent experience Knowledge Essential Understanding of stages of project management and effectives methods of tracking a project Working knowledge of Microsoft packages and clinical systems and application in local NHS Knowledge of service development to improve quality and efficiency.
