Anderson Knight is recruiting a skilled and proactive Project Administrator to join our client based in Glasgow on a 6-12 Month FTC.
This is a full-time position (35 hours per week) with flexible working arrangements of 1 or 2 days in the office per week, offering a competitive salary up to £29,600 per annum.
The role holder will deliver comprehensive administrative support, including managing schedules, coordinating workshops and governance meetings, documenting meeting actions, and proactively following up as needed.
Main Duties and Responsibilities This role is crucial in ensuring the smooth running of project operations and maintaining effective communication internally and with partner institutions and senior stakeholders from various sectors across the UK. Primarily support the Project Leader and Project Manager, with additional support extended to other senior team members as necessary. Proactively coordinate, organise, and manage internal and external meetings for the project team, including drafting agendas, taking minutes, and tracking action items. Liaise with internal and external senior stakeholders, ensuring prompt, customer-focused communication, and independently resolve or escalate issues as needed. Support the Project Manager in maintaining project documentation, such as risk registers, timelines, and schedules. Arrange virtual and in-person meetings for internal and external stakeholders, ensuring all necessary pre-meeting arrangements are in place, including room bookings, catering, equipment, and preparation of agendas and meeting papers. Provide diary management and occasional travel arrangements for the Project Leader, proactively resolving scheduling conflicts. Prepare documents, presentations, and reports based on clear briefs, and coordinate communications using established formats and standard software. Knowledge, Qualifications, Skills, and Experience Familiarity with Project Management principles and practices. Knowledge of financial processes and systems. Strong interpersonal and communication skills, both written and verbal. Excellent planning, organisational, and prioritisation skills with the ability to manage a varied and demanding workload. Ability to work effectively under pressure, meet deadlines, and adapt to changing priorities. Well-developed analytical and problem-solving skills. High attention to detail and accuracy. Advanced proficiency in using Office Software, including Excel, Word, and PowerPoint. Proven experience in project administration or a similar role. Experience in coordinating events, such as seminars, networking events, and community engagement events.
