An exciting opportunity has arisen for a Private Office Manager to join the team at The Birley Clubs , based in Mayfair, London.
The Birley Clubs operate some of the world's most iconic private members' clubs; Annabel's, Mark's Club, George, Harry's Bar and Bath & Racquets Club.
The Private Office Manager will oversee the daily tasks of the Private Office (Legacy, Family, Corporate, Under 40s) as well as managing all regular communications to Members, relationship management, and Event planning and management.
A major focus is to work to minimise attrition of members, through end to end management of the relationships with members, and creating unique 'money can't buy' experiences and gifting, in line with brand guidelines.
Regular attendance at member events, being at the point of contact for members to gain insights and receive feedback.
Ensure constructive feedback is then escalated appropriately to Events, The Club and Membership.
Key Responsibilities: Private Office Manager Establish, maintain and nurture relationships with existing Private office Members, ensuring they are assisted in a timely manner and looked after to the highest standards Ensuring all new members of the Private Office are introduced to the applicable clubs senior management team and are given appropriate tours of the club Sending out application paperwork to prospective legacy members Onboarding new Legacy members on salesforce & other systems Manage and oversee the accounting for Private Office memberships, ensuring members are communicated in a timely manner and monies processed effectively Sending welcome packs and arranging tours of the Club Christmas & Birthday Gifting PO Data Review & Development for Salesforce Dashboard Effective budget management and administration ensuring all events and gifting are within budget and achieving the levels of quality and experience required Private Office Events invitations B&R Membership Secretary Sending out application forms and Club information Managing waitlist Electing and onboarding new members Responding to emails regarding application and membership questions and queries Changing any necessary details on Salesforce such as email addresses, home addresses etc.
