Brook Street is excited to present an opportunity for a Personal Assistant to the Chief Executive at NIPEC.
This role is perfect for someone who thrives in a fast-paced setting and is eager to support senior leadership in their daily operations.
Key Responsibilities: Diary Management: Coordinate and manage the schedules of the Chief Executive and Chair, ensuring efficient use of their time.
Administrative Support: Provide comprehensive administrative support, including word processing, mail management, and file maintenance.
Meeting Coordination: Organise meetings for the NIPEC Council, Remuneration Committee, and Business Team, including agenda preparation, minute-taking, and follow-up actions.
Communication Handling: Manage all incoming communications effectively, ensuring timely responses and appropriate action on inquiries.
Documentation Preparation: Draft correspondence and reports as required on behalf of the Chief Executive and Chair.
Procurement Management: Raise requisitions using the e-Procurement System for office needs.
Stakeholder Engagement: Build and maintain professional relationships with key internal and external stakeholders.
What We Are Looking For: To succeed in this role, you should have: Educational Qualifications: GCSEs in Maths and English (A-C) AND 2 A Levels OR HNC/HND in an administration-related field with relevant experience.
Experience: At least 18 months in a secretarial/administrative role or equivalent experience.
Meeting Experience: A minimum of 6 months in servicing meetings, including agenda drafting and note-taking.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Typing Skills: RSA Stage II typing or equivalent experience.
