Job summary Our GP Personal Assistants are integral membersof The Quarter Jack Surgery team.
They act as a focal point of communicationbetween patients, doctors and other medical staff.This busy but fulfilling role is responsible forworking closely with the Care Navigators in the reception team, providingclinical administration for doctors and nurses, including answering and makingpatient calls and responding to tasks and supporting the Care Navigators withqueries.
NHS or medical experience, excellent administrative and teamworkingskills, and evidence of working effectively under pressure are essential.Applicants with a clinical background are preferred.
The post is one of severaladmin staff who work closely together as a team within reception.
The role isto provide a friendly and efficient PA service for patients, team members andclinicians and undertake additional administrative duties.
Main duties of the job Supporting members of reception team eg CareNavigators and prescribing clerks, with patient enquiries including onlinequeriesSupporting GPs, dealing with administrativequeries and tasks on their behalfReceiving and making telephone calls as requestedArranging appointments for medicals and othernon-routine appointmentsArranging home visits, home visit reports andresponsibility for allocating a GP to undertake visit in the absence ofregistered GP as per the rota systemTaking messages and recording themProcessing forms prior to passing to a GP forcompletion, private health claim forms etcGenerating prescriptions in accordance with GPinstructionsFollowing GP instructions on path links(pathology network)Dealing with problems and queries from doctors,other healthcare staff and patientsSorting of GP mail for scanning, data loadingand/or destroyingUsing SystmOne to enter patient information andidentify patients requiring treatment/reviewChecking GP appointments on SystmOne and advisingof any discrepanciesEnsuring the NHS email system is used as anefficient means of communicationLiaison with consultants, technicians and otherhospital staffAs part of the reception team, you would need todemonstrate flexibility and you may be asked to work in other areas About us Thepost is one of several admin staff who work closely together as a team withinreception.
The role is to provide a friendly and efficient PA service forpatients, team members and clinicians and undertake additional administrativeduties Job description Job responsibilities To have a thorough knowledge of all practiceproceduresTo have a thorough knowledge of the practice areaTo have a thorough knowledge of the practice Fireand Health & Safety PoliciesTo work in accordance with the policies andprocedures established by the PracticeSupport your GPs, ensuring appropriate tasks aredelivered to your GP and subsequently dealt withCall patients at the GP request, deliveringinformation/messages in a professional and caring mannerWork collaborativelywith other administrative and clinical staff to ensure seamless servicedeliveryProvide support to colleagues during busy periodsor absencesProcess and effectively signpost patients to theappropriate healthcare professional, depending on the presenting conditionAnswer incoming phone calls, dealing with thecallers requests appropriatelyMake appointments for patients attending orcalling by telephone, using the computer system, and in accordance with thePractices appointment protocolsInitiate contact with and respond to requestsfrom patients, team members and external agenciesInput data into the patients healthcare recordsas necessaryDeal with queries regarding services offered bythe practiceArranging appointments for medicals and othernon-routine appointmentsTaking messages and recording themDirect requests for information, , SAR,insurance and solicitors letters and DVLA forms, to the relevant departmentProcessing Hospital LettersScanning of letters and test results on tocomputerised medical recordsUsing the computer to enter patient informationProcessing eConsults to the appropriatehealthcare professional or administratorEnsuring patient signatures and ID on relevantformsRegistering temporary residents and thoserequiring immediately necessary treatmentHave an understanding of the duty GP role andoperate within the surgery protocol when necessaryLiaison with other members of the Primary HealthCare Team for patients attendingMaintain a clean, tidy, effective working area atall timesSupport all clinical staff with general tasks asrequestedAs part of the administration team, you would beexpected to demonstrate flexibility and you may be asked to work in other areasAttend a formal appraisal with their manager atleast every 12 months.
Once aperformance or training objective has been set, progress with be revised on aregular basis so that new objectives can be agreedContribute to public health campaigns eg fluclinics through advice or direct care Person Specification Experience Essential Senior medical administrative experience for over 2 years
