Job summary St John's Medical Centre have a new and exciting opportunity for a Payroll, Finance & Admin Administrator to join our enthusiastic and supportive team.
The role is for 22 hours per week, working over 4 days per week (days/hours will be discussed at interview).
The successful candidate must have experience of payroll duties and be able to demonstrate this at interview.The role is fast paced with strict deadlines; therefore the successful candidate must have excellent communication and organisation skills whilst maintaining high levels of attention to detail.It would be advantageous for the successful candidate to have worked in Primary Care/ NHS and to understand the current pressures faced by the NHS, however this is not essential.
Ultimately, we are looking for the right candidate to join our team.
Main duties of the job As this is a new role for the Practice, the duties maybe amended accordingly as the role becomes established but ultimately the Payroll, Finance and Admin Administrator will be responsible for overseeing the Practices finances and processing of the payroll.The main duties of the role will include:Accurate processing of Payroll for all staff members on a monthly basis, including calculating overtime rates, mileage claims, and any other aspect of staff pay or deductions.Completion of all associated Pension Administration, including GP1 forms, new starter and leaver memberships and retirement application forms.Ensuring efficient handling of the Practices finances via Xero, this includes payment/ reconciliation of invoices/ practice payments and ensuring manual journals are maintained.Assisting with New Starter Governance checks including contracts, DBS and NHS smartcard applications and other associated paperwork/ checks.Supporting with other administrative tasks as advised.The Finance, Payroll and Admin Administrator will work closely with the Practice Manager.
About us St John's Medical Centre is a large, well established Practice with circa 13,000 patients registered.
We are a Training Practice and regularly welcome GP Registrars, Nursing Placements and work experience placements for Schools/ Colleges in the local area.
In our last CQC Inspection we retained our 'Good' rating.Our extensive, multi disciplinary team consists of 3 GP Partners, 5 Salaried GP's, 4 Practice Nurses, 2 HCA's, 1 Diabetes Nurse, 2 Care Coordinators, 2 Clinical Pharmacists and 2 First Contact Practitioners.

Job description Job responsibilities As this is a new role for the Practice, as the role becomes established duties may be amended accordingly.Main Duties of the role includes:Processing of the Payroll for all staff members on a monthly basis, ensuring accurate calculations for overtime, mileage claims and other types of pay including SMP, Occupational Sick Pay and SSP.Ensuring employees wages are uploaded to Natwest Autopay.Following the payroll, ensuring payment of the GP1 (NHSBSA Pension) / P32 (Employment Payment Report).Ensuring accurate processing of new starters/ leavers with regards to the payroll, this includes joiner and termination forms via the NHS/ Nest Pension schemes and P45.Annual completion of the SD55 Cyclic Update for all staff members via Pensions Online.Accurate payment/ reconciliation of invoices/ remittances via Xero.Ensuring manual journals relating to the Practice Payroll are accurately maintained each month.Ensuring that the Workforce Data Survey via NHS Digital is updated every month.Assisting with HR Paperwork including Contracts, Amendments to Contract and other associated paperwork as required.Supporting with recruitment and onboarding checks including DBS and NHS Smartcard applications, approaching for references, completing Right to Work Checks where necessary etc.Assisting with ensuring that staff immunisation records are maintained.Submitting IT logins for new starters/ leavers logins and arranging/ allocating mandatory training in accordance with the role.Supporting the Management Team in ensuring that all staff remain in date for mandatory training.Ensuring checks of the appropriate registers are maintained for all clinical staff.Ensuring car insurance and MOT/ Tax checks are completed annually for all clinical staff.Organise and maintain all personnel records, including adding to Team Net.Assisting with calculating annual leave and bank holiday entitlements for all staff as required.Acting as a point of contact for Medical Students whilst in the Practice and ensuring timetables are prepared ahead of their visit.The duties listed above will provide guidelines for this role but other duties maybe assigned/ removed from time to time to meet the changing needs of the practice.
Person Specification Qualifications Essential Educated to GCSE level or equivalent GCSE or equivalent Maths & English (C or above) Experience Essential Previous experience of Payroll duties Previous experience of working as an Administrator Experience of working with Microsoft Office including Excel & Word Desirable Working within Primary Care or NHS Knowledge of NHS/ Nest Pension schemes Skills Essential Must have excellent time management skills Must have excellent organisational and communication skills High level of attention to details Ability to work as part of a team and also independently Desirable Experience of using Systm1 Clinical System
