Job summary Under the guidance of the PALS team, the PALS Administration Assistant will undertake a variety of tasks including greeting enquirers, answering requests for information, taking messages and details of queries / concerns to pass on appropriately.
The PALS Administration Assistant is responsible for providing office and administrative support to the PALS service and facilitating their smooth and efficient operation.
The needs of this service are to be met by an efficient and comprehensive administrative process.
To produce and distribute accordingly the monthly PALS Datix report.
Main duties of the job Support the provision of a visible and accessible PALS and playing an active part in ensuring the contacting of the Trust is as easy as possible, interpreting services, signposting patients, services users and / or carers as appropriate.
Opening and dealing with post, ensuring any urgent and/or important communications are actioned efficiently.
To respond to enquiries, in person, by email, telephone and post as directed.
Responsible for handling telephone enquiries and other communications with diplomacy, respect, and confidentiality at all times.
To take details of any issues raised and either respond back to the enquirer or pass the concern on to a member of the PALS team.
Use initiative and knowledge to assess each situation and deal with them accordingly,seeking guidance as required.
Communicating effectively including discussion and written communication.
Providing help and support to other people.
Working effectively with others.
Maintain co-operative working relationships with all Directorate colleagues, with mutual support and joint working wherever appropriate characterising the relationship.
Ensure a co-operative working relationship with all Trust staff, volunteers, patients and the public.
To liaise with Complaints, Access Services and interpreters as required.

Person Specification Qualifications Essential GCSE English (or equivalent) GCSE Maths (or equivalent) Desirable IT qualification or equivalent experience Experience Essential Experience of providing excellent customer service with internal and external customers by telephone or in person Experience of providing high quality administration services in a busy environment Experience of Microsoft Word, Excel and Outlook Desirable Experience of working within the NHS Knowledge Essential Good knowledge of general office procedures and customer care Desirable Experience of working with PAS, Anglia ICE, Letter Manager and Etrack Key Skills Essential Ability to demonstrate effective oral and written communication skills Ability to work under pressure and prioritise own workload to meet deadlines Ability to work effectively both independently and as part of a team Must be a methodical worker with attention to detail Ability to use MS Office packages as follows: - Excel, to produce spreadsheets which include formulas - Word, to produce letters and templates
