PA to MD - LondonOur client is looking for an experienced Personal Assistant to join their team in London. The role consists of providing comprehensive executive assistant and client servicing to the Managing Director of a Wealth Management firm.
Key Responsibilities of the Job Ability to manage and prioritise internal and external demands to the Managing PartnersDiary management and client servicing to the Managing PartnerEnsure the MP is fully prepared for all meetings with all necessary documentation and informationMonitor and respond to emails throughout the day; actioning and responding to any client requests in a timely manner and prioritising inbox in accordance with requirementsManaging and ensuring client actions are completed using the task systemStructuring advice summary emails to the client within 6 months (checked by adviser) and 1 year (with no supervision) and be able to demonstrate understanding of the advice given.Preparing Strategy Documents, LifePlans. Ensure all documents are appropriately personalised, accurate and comply with company standards- by close of business 5 full working days prior to the third meeting.Preparing Voyant reports. Inputting the client's information in order to create a base plan, create 'what if' scenarios and generate reportsBusiness submission CFRPreparing Analytics reports. Locating funds and pre-populating client portfolios, producing fund and performance analysisDiary management - booking existing clients, prospect referrals plus all business-related meetings in.Managing the client review meeting processFirst point of contact; dealing with incoming telephone calls and emailsProactively managing the LOA process and expediting information retrieval from external pension and investment companiesMeeting pack preparation - for existing and potential client meetings and binding theseTaking meeting notes of your own plus typing up the Advisers notesGenerating and booking in 5 kept meetings per monthPlanning and managing client eventsCreating new client records and keeping the information up to dateSubmitting fund switches and obtaining product valuationsConfirming receipt of client's funds with SJP Admin Centres and informing the clientClient servicing actions i.e sending Birthday and Christmas cardsAny ad hoc requests the Partner may want you to undertakeRequirements to be successful at the Job Highly motivated, with a great work ethicAbility to work under pressure and meet deadlinesCommitted to delivering first-class client serviceExtremely organised with the ability to multi-task whilst maintaining strong attention to detailResilient personalityAccountable for own actionsDiscrete and professional in all communicationAdaptable and flexibleWillingness to challenge in a constructive and non-confrontational manner.
