Our UKI Rail Infrastructure business provides innovative solutions and products for rail automation and rail electrification, and apps and back-end systems for intermodal mobility. We enable operators to shape today's and tomorrow's passenger and freight transportation ? with trains, infrastructure, automation and electrification solutions, turnkey systems as well as related services. That covers trams, light rail, metro, commuter and regional trains, high-speed and very high-speed trains.
The Strategy and Business Development team supports the Siemens Mobility UKI Rail Infrastructure business, through supporting identification and development of opportunities, bidding for and winning work and driving strategic thinking. We work to provide competitive advantage and identify areas where we can be more efficient and effective through the use of innovation, digitalisation and the delivery of strategic programmes to support the company strategy.
This role will be responsible for the provision of professional administration services to the Head of Bids and Tendering, Head of Sales and Head of Strategy and Transformation, within the UKI Rail Infrastructure Strategy and Business Development management team.

Monitoring of the Head of Sales inbox, picking up emails and responding to them if appropriate, taking independent actions as required.
Manage diaries of all three Head of roles, in a pro-active and efficient manner making independent decisions.
Responsible for setting up meetings and schedules and cascading information.

Assemble, collate, and submit expenses reports for all managers.
Responsible for timesheet input and management.
Travel analysis, coordination and booking through the online Concur system.
Prepare, compile and contribute to reports and presentations.
Maintain excellent relationships with client representatives, suppliers, and other external parties. Organise and schedule regular meetings with senior clients, as and when required.
Manage and coordinate events, workshops, meetings, and any other 'community of practice' type events. Organise venue, facilities, and agenda through liaising with internal and external facilitators.
Support to on-going team activities including critical programmes, including but not limited to collation of reports from various functions as required, and formulating outstanding actions.
Ensure high quality and timely submission of contributions for the monthly team brief communication pack.
Help create and maintain an induction pack for the functions.
Organise periodic functional events such as the team meetings, customer presentations and events.
Raise IT orders and issues, PPE, stationery orders and office supplies as required.
Establish good working relationships with key PA support in the internal and external communities.
Raise purchase orders for department cost centres
Establish good working relationships with key internal and external PAs / Administrators
If office based, welcome and direct visitors promoting a professional and friendly attitude at all times. Provide refreshments for visitors and meetings. Office duties including security passes, telephone lists, faxes, photocopying.
