We have an exciting opportunity at our Head Office based at Mercia Marina for an experienced Office Coordinator!
This role is responsible for maintaining and implementing operational business processes and be the main point of contact for the office building and the training suite.
The job holder has responsibility for ensuring a high level of customer service in terms of delivery for both internal and external clients.
General duties include: Legal administration Managing various generic inboxes Maintain the travel and accommodation booking systems for Bionical Health to facilitate the travel and accommodation requirements of Bionical employees requiring those processes in accordance with the Bionical travel policy Process travel related expenses to finance using the correct P&L codes Manage the Bionical Health Fleet process Review and maintain the Fleet handbook Procure and manage all supplies for all office operations Coordinate and facilitate the group induction days delivered remotely and on site Coordinate room bookings for board meetings Support the Health and Safety (H&S) function by being the chief fire marshal for the building and identifying and then sourcing training for fire marshals throughout the business Provide administrative support where needed within the office Act as the main contact for the landlord and communicate any required information to the Bionical Health management team Conduct regular inspections of the offices to ensure no H&S issues or concerns.
Any H&S issues or office defects to be reported to HR in a timely manner.
Answering the main office entrance to visitors and ensuring that they are signed into the building Ensuring the post received is distributed accordingly and all outgoing post is dealt with in a timely manner Answering the general information telephone line Essential: Able to work flexibly to prioritise the needs of the business Maintain a positive and enthusiastic approach to the role Ability to deal confidently with colleagues, regulatory bodies, customers, suppliers and other relevant third parties Excellent planning and organisational skills Excellent verbal and written communication skills, enabling communication across all levels throughout the business Competent knowledge of Microsoft Office, including Word, Excel and PowerPoint IT literate and competent Good literacy skills Seeks to understand, improve, and develop At Bionical Health, we value having a diverse workforce and welcome applications from anyone able to demonstrate their suitability for the role.
