Job summary Weare looking to recruit an enthusiastic, motivated person who will providesecretarial support within the Children in Care Service within Children& Family Services based at Pinderfields Hospital, Wakefield.
Main duties of the job You will be responsible for the audio/copy typing of Pre-adoption medicals, general correspondence and Health Assessments and their distribution.You will assist with registering referrals coming into the Service.You will book Children in Care Initial Health Assessments and Pre-adoption Medicals over the phone/email with carers/social workersYou will maintain accurate clinical records and undertake any necessary filing, photocopying and other administrative duties to ensure the efficient running of the officeYou will act as a contact point and liaise with patients, medical staff, social care and other agencies face to face and over the telephone, dealing with queries competently and professionally and taking action as appropriate in accordance with the Data Protection Guidelines About us We are an acute trust caring for over half a million people in Wakefield and Kirklees.

Job description Job responsibilities To open post, answer the telephone, take messages and deal with enquiries both professional and public and take appropriate action as necessary in a professional manner.
To maintain confidentiality and discretion at all times.
To undertake word processing of all correspondence, this Will include the typing of Pre-adoption Medicals, and Health Assessments.
To undertake photocopying, filing duties, maintain comprehensive and accurate filing systems.
To be competent in the use of spreadsheet, databases and presentation tool packages to support the work of the team.
Facilitate the setting up of appointments for the Specialist Nurse Advisors and ensure appropriate professionals are notified of appointments To maintain computer based record system/database with regards to Children in Care and facilitate the review process To ensure that systems are well organised and information maintained in order to support the audit process To assist in audit activity and evaluation of service delivery as and when required by the Lead Nurse or team Assist the Lead Nurse in the production of performance management figures To support the co-ordinator in the development of the service through preparing management figures and other information as required To take minutes in meetings as required and produce minutes of such meetings The post holder will work with a degree of initiative, flexibility and have the ability to organise own workload To produce/ type and distribute other minutes as requested Ensure that notes are transferred in a timely manner Liaise with Social Worker within Wakefield and other Professionals Ensure electronic systems are up to date such as SystmOne Responsible for sending Review Health Assessments to appropriate professional in Wakefield and Out of Wakefield following allocation by Specialist Nurses Monitor SystmOne so that the Review Health Assessments are completed in a timely manner.
Assist with collecting information as required for management report, research or audit.
Ensure that the information is collected in the most efficient way using the computer system to full potential Person Specification Experience Essential Proven ability of working on own initiative Ability to organise self, working to deadlines and ensuring quality standards Experience and knowledge of Multi-disciplinary team working Secretarial experience Experience of working with filing systems Experience of good customer or patient care Work with computer software programmes such as Microsoft Office, e-mail and internet Experience of scheduling/co-ordination activities and/or resources Desirable Medical secretarial experience Previous NHS administrative role Experience of working with patients requiring health care Experience with NHS software systems such as SystmOne Experience of working with confidential material Knowledge and Awareness Essential Sensitive to confidential environment Understanding and knowledge of work policies and procedures (Caldicott/Data Protection Act) Awareness of own limitations.
