DJF Solicitors are seeking a highly organized and motivated Private Client Legal Secretary to join our growing team at our Tamworth & Polesworth office.
The ideal candidate will have experience in private client law and be capable of providing comprehensive administrative and legal support to the private client team.
You will play a key role in assisting with matters relating to wills, probate, trusts, and estate planning, helping to ensure smooth day-to-day operations of the department.

Key Responsibilities: - Client Support: - Provide a high standard of client care by handling initial client enquiries, arranging appointments, and ensuring effective communication with clients throughout their matter.
- Assist in the preparation and submission of documents related to wills, probate, trusts, and powers of attorney.
- Manage client files, ensuring all information is accurate and up to date.
- Administrative Support: - Draft legal documents and correspondence under the supervision of solicitors, including wills, letters, and applications for probate.
- Organize and manage diaries, scheduling meetings, and keeping detailed records of deadlines.
- Support with estate administration, including gathering and distributing assets.
- Assist with preparing trust documentation and tax returns where necessary.
- Work through the dictation done by the fee earner - Document Management: - Maintain electronic and paper-based filing systems to ensure compliance with firm policies and legal regulations.
- Monitor and follow up on progress with clients' matters, ensuring deadlines are met and processes are followed accurately.
- Research & Drafting: - Conduct legal research to support solicitors in handling complex private client cases.
- Prepare draft letters, forms, and other documents required in probate, wills, and estate administration cases.
- Team Collaboration: - Work closely with solicitors and other legal assistants within the private client team to ensure seamless service delivery.
- Provide support during client meetings, including taking notes and preparing relevant materials for discussions.
Person Specification: Qualifications & Experience: - Experience in private client law is essential, including wills, probate, trusts, and estate administration.
- Legal qualification or significant experience in a legal support role.
- Strong knowledge of private client processes and terminology.
Skills & Attributes: - Excellent organizational skills with a strong attention to detail.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook) and legal case management software.
