We're looking for a talented Administrator with an interest in the charity sector to join our small Legacies Team at Charities Aid Foundation (CAF).What you'll doAt CAF, every one of us contributes to our impact, and as our Legacy Administration Officer you too will play an integral part in what we do.The CAF Legacy Team provides a service through which donors can simplify their legacy giving, by naming CAF in their Will and having us onward grant funds to their chosen charities.
This role will give the successful candidate the opportunity to facilitate gifts to charities throughout the UK and around the world.We are looking for an effective administrator to deliver an efficient and accurate administration function for the Legacy Team.
Responding to client enquiries, be responsible for accurate record keeping and filing for all legacy cases that we handle and to seek out opportunities to optimise the client experience by providing excellent administrative support.
Some legacy case administration will be required which will give the successful candidate the opportunity to facilitate gifts to charities across the UK, and the world and to support on some of our straightforward legacy cases.
Specific legacy experience not essential as training will be provided.As our Legacy Administration Officer you will:Undertake various administrative tasks in support of the Legacy Team, including but not limited to setting up new clients on the CRM system, legacy account opening and closing, fee taking, charity verification requests, solicitor and executor checks i.e.
KYC activityEnsuring that all data related to legacies is consistently accurate, updated and saved in spreadsheets, shared drives, and CAF's CRM system to manage CAF's legacy productDaily monitoring and triage of the legacy email inbox and all post received and filedReview client communications and other draft documents from donors for future legacy gifts to ensure that they are fit for purpose and CAF can execute a donor's instructionsEnsuring that client communications are correctly saved and sent to the Legacy Support team for acknowledging and recording on CRMRespond to Finance requests by accurately informing Finance how receipt of legacy funds should be postedRespond to basic queries from potential pledgers and prospects, charities and introducers by phone and email in a professional, timely and efficient manner in accordance with departmental standards, to provide the highest level of customer serviceEnsure client confidentiality at all times and to adhere to GDPR requirementsLiaise effectively with internal teams in support of the Legacy Team, specifically the rest of the Private Client team, Finance, Verification and Customer ServicePrepare legacy distribution spreadsheets in line with clients wishes and emails for donation approval in an accurate and timely mannerManage the administration of pecuniary legacy gifts and some of the more straightforward, non-complex residuary gifts left to CAFProactively monitor review dates of all pecuniary cases and some non-complex residuary cases Liaise with executors and solicitors to ensure all pecuniary gifts and some non-complex residuary gifts are received by CAFOther support to the Legacy Manager as requiredWho you'll beThis role is for you if you have administration experience and are keen to make a difference to society.
