Leasehold Support Officer

45 months contract with an East London based Local Authority Job Summary: The collections team carries out service charges collections and arrears escalation service within the leasehold services team.
To provide a comprehensive support service within the Leasehold Services covering the full range of administration support activity and providing an efficient and effective Leasehold transactional service.
To work with colleagues in the team to deliver excellent customer service and to continually improve service delivery.
To help process and monitor a range of service activity.
Key Duties/Accountabilities: To distribute incoming correspondence in accordance with procedures.
Respond to telephone enquiries securing the best service and outcomes for customers.
To handle a range of internal and external enquiries in a polite and professional manner and referring to the appropriate officer as required.
To provide support to senior staff on a planned or adhoc basis.
To arrange service meetings book and prepare rooms prepare and circulate agendas and papers provide and circulate minutes and monitor follow up actions as necessary.
To set up and maintain file management systems including archiving storing and retrieving documents.
Maintain a library of reference documents for use by Leasehold Services.
Act as a point of contact within the service area for IT issues.
Arranging IT systems access for staff and contractors.
To comply with measures to protect the confidentiality of information in accordance with London Borough of Tower Hamlets policies and procedures including the duties outlined by the Data Protection Act.
To compile and process information regarding revenue accounts.
To raise orders and pay invoices on behalf of the service as and when required.
To produce statutory legal documentation (e.g.
Section 125 Notices) and get them checked by a senior member of staff.
To contribute towards achieving the Service s performance targets.
Carry out other reasonable ad hoc duties to support the Service which are commensurate with the expectation of the post as directed by the line manager or the Head of Service.
Demonstrate use of systems and processes to other service members and provide assistance with using them.
Monitor progress of work processes.
This includes creating basic reports and highlighting issues to the Team Leader.
To be responsible for the administration of Leasehold Services credit cards and travel cards and ensure that their use falls within London Borough of Tower Hamlets guidelines.
Essential Experience Required: Administration experience.
Experience of working to deadlines.
Experience of working in a customerfacing role.
Knowledge and understanding of diverse needs of residents and staff.
Knowledge of MS Office applications basic.
Additional information to note: To attend meetings outside normal office hours as and when required.
Work flexibly to undertake role to meet the needs of the service e.g.
working at different locations.
