The ideal candidate will have experience working within an IFA (Independent Financial Adviser) environment and be proficient in using theIntelligent Officeback-office system.
This role involves providing critical administrative support to financial advisers, ensuring smooth client management, and contributing to the overall efficiency of the practice.
Key Responsibilities: Administrative Support: Provide day-to-day administrative support to IFAs, including preparing client reports, letters, and documentation.
Client Management: Maintain and update client records using the Intelligent Office system, ensuring all data is accurate and compliant with industry regulations.
Appointment Coordination: Schedule and confirm client meetings, manage adviser diaries, and ensure all necessary documentation is prepared for appointments.
New Business Processing: Assist with the submission and processing of new business applications, including pensions, investments, and protection products.
Compliance Support: Ensure that all client files and advice provided are fully compliant with FCA regulations and company procedures.
Client Communications: Handle client inquiries, providing professional and timely responses, and liaise with product providers and other third parties.
Document Management: Prepare and file correspondence, meeting notes, and client documentation both digitally and physically.
Reporting: Produce valuation reports, financial summaries, and other client-related documentation using Intelligent Office.
Workflow Management: Manage the pipeline of tasks, ensuring that deadlines are met and client expectations are managed effectively.
Required Skills & Qualifications: Experience: A minimum of 2 years working in an IFA/Financial Services environment.
Systems: Proficient in usingIntelligent Officeback-office system.
Attention to Detail: Strong organizational skills and high attention to detail.
Communication: Excellent written and verbal communication skills, with a client-focused attitude.
Knowledge: Familiarity with financial products including pensions, investments, and protection.
Initiative: Ability to work independently, manage your own workload, and prioritize tasks effectively.
Compliance Awareness: Understanding of FCA regulations and the compliance process within financial services.
IT Skills: Proficient in MS Office (Word, Excel, Outlook).
