Job Description Purpose
You'll play an important operational management role in Squared being responsible for delivering a high-quality, efficient customer service covering maintenance, repairs and voids. You will be the in-house specialist in component replacement activity, supporting the operational Property Services team in providing quality data-led information on the condition of components and stock; also being responsible for having oversight of our compliance and health & safety frameworks.
You will lead in the line management of the multi-skilled in-house team, Scheduler and Compliance Lead, providing guidance, support and motivation; implementing positive and effective performance management. Being well versed in the management of subcontractors you will also ensure that the systems that underpin these services are regularly reviewed and up to date.
You will implement the compliance management and asset management monitoring systems and will utilise these to inform the programmes required for the future management of homes across Squared.
You will be carrying out cyclical and planned maintenance activities across a number of workstreams; providing support in analysing and improving the processes resulting in improved quality, productivity, and efficiency.

These are some of the things you will be responsible for in your role: Oversight of Compliance and Health & Safety Liaising with the Compliance Lead, our Health & Safety consultants and contractors to monitor and ensure periodic compliance and health and safety checks are undertaken for all Squared properties in alignment with the Squared compliance and health and safety frameworks. Manage contractors that are employed to carry out compliance and planned activity. Ensure that all contracts are resourced and that contract management meetings occur regularly. Monitor contractor performance with the use of key performance indicators and flag any performance or run rate issues to the Head of Property Services. Being responsible for overseeing the compliance and planned programme management. Capital and Cyclical Investment Programmes Support the Head of Property Services with the development of capital and cyclical investment programmes. Manage capital replacements on the ground this includes all components that fall in line with our capital investment programme. Agree Squared specifications for component replacements and ensure all team deliver on this. Project manage all capital and cyclical investments. Ensure the asset component information is up to date following component renewals. Monitor the annual budgets for capital and component placement and cyclical investments. When required publish annual works programmes. Implement Compliance and Asset management software- ensure that these are updated regularly in line with work completions. Payment of invoices related to cyclical servicing and component replacement, repairs and refurbishment work. Implement and arrange rolling stock condition surveys. Ensure all work is undertaken in accordance with Health and Safety legislation. Operational Management of Day-to-Day Service Delivery Coordinate day to day maintenance activities to deliver effective and efficient customer services to achieve key performance indicators. Monitor repairs budget ensuring resources allocated effectively. Manage the work scheduling function to ensure that the right resources are in the right place at the right time. Monitor and supervise all trades on the ground to ensure they have the necessary information and equipment to undertake their responsibilities. Carry out post inspections on all properties as required. Undertake all void property and repair inspections to include photographs, schedule of works and provision of reports to the repairs/voids scheduler. Chair the weekly voids meeting, work with colleagues to ensure regular updates are provided. Monitor and manage all disrepair claims, this will include liaising with our in-house team and surveyor/s to ensure full surveys are undertaken and detailed reports and schedule of works are prepared. Undertake works related to refurbishing office spaces as required. Oversee all maintenance inventory and equipment to ensure proper storage and usage. Manage the team fleet to ensure it is correctly maintained, including MOT, servicing and also undertake stock checks monthly. Ensure all work is undertaken in accordance with Health and Safety legislation, ensuring that all H&S paperwork is in order prior to works being undertaken. Attend emergency situations outside normal working hours, if necessary. Deputise for Head of Property Services during absences. Support the Head of Property in the recruitment and training of the Property Services team. Assist with special projects as and when reasonably required by your line manager. Prepare and implement processes and policies. Update knowledge by participating in training opportunities to support staff. Provide written/verbal reports as required to Head of Property Services. Undertake the investigation of and effective handling of complaints as required. Work to minimise any possible disrepair claims. Understand and follow Squared's policies and procedures always, including Health and Safety, Fairness and Lone Working.
