Job summaryFiley Surgery is looking to recruit an enthusiastic and reliableindividual to join our Reception team.
The applicant will be able to work under their own initiative and beable to contribute to the overall work of the practice team.
Previousexperience of working in a similar role is desirable but not essential, as fulltraining will be given.
The applicant must be flexible with regards to sessionsworked each week and would be required to be available between the hours of8am-8pm and provide cover for holidays and any sickness cover.
Main duties of the job Main duties of the jobTo be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team.
Duties can include, but are not limited to greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.To act as the central point of contact for patients, the distribution of information, messages, and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.

Job description Job responsibilities Reception Dutiesa.
Ensure efficiency of the surgeries by monitoring the arrival of patients and the flow of patients into consulting and treatment rooms.b.
Ensure that patients without appointments, but who need urgent consultation are seen in a logical and non-disruptive manner.c.
Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensure all procedures are completed.
patients of relevant charges for private services, accept payment and issue receipts where required.e.Respond to all queries and requests for assistance from patients and other visitors.
requests for home visits into Systmone appointments, including all relevant information, referring urgent requests to the duty doctor.g.
Action requests for ambulance transportation and document in the patient record reception and waiting areas are kept neat and tidy.i.Handing out prescriptions/medication in the absence of the dispensary staff and receiving prescription requests.Management of appointment systema.
Ensure total familiarity with all appointment systems in effect including regular and incidental variations.b.
Book appointments and recalls.c.
Monitor effectiveness of the system and report any problems or variations required.Management of medical recordsa.
Ensure that records are available for Doctors home visits, by printing the relevant information from the patients computerised record.b.
Retrieve and re-file paper records as required, ensuring that strict alphabetical order is adhered to.c.
Ensure that correspondence, reports, results etc.
are passed to the relevant departments/ persons to be scanned or entered electronically into the patient record.
Ensure records are kept neat and tidy and in good repair with all necessary information recorded correctly on the outer cover.d.
Ensure that the records of new patients are tagged in the correct manner.e.
Ensure that computer entries are made correctly and on a timely basis.Preparation of Consulting Roomsa.
Ensure that the consulting rooms are prepared in readiness for each consulting session and at the end of each consulting session that the room is left tidy and secure.Operation of the Telephone SystemReceive and make telephone calls as and take messages as appropriate.Start and End of Day Proceduresa.
Open up premises at the start of the day, set alarm to day function and make all necessary preparations to receive patients.b.
Secure premises at the end of the day, ensure the building is totally secured, internal lights off and alarm activated.General Responsibilities: Ensure total familiarity with all computer programmes which affect your work.
Ensure that your work area is kept neat and tidy.
Monitor effectiveness of the various systems you operate and report any problems or variations required.
Special Requirements of the post: An understanding, acceptance and adherence to the need for strict confidentiality.
An ability to use own judgement, resourcefulness, common sense and local knowledge to respond to patients enquiries and requests.
Excellent communication and secretarial skills.

They may also have access to information relating to the practice as a business organisation.

Person Specification Qualifications Essential Essential criteria Educated to GCSE level or equivalent GCSE Mathematics and English (C or above) Desirable Previous experience in a medical receptionist role although full traning will be given.
