Your Role Our People Operations Coordinator will form a pivotal part in supporting our Oxbots on their career journey as we continue to scale globally.
You will assist in the delivery of an engaging employee experience, maintaining compliance, confidentiality and transparency throughout.
You will reflect and embed our company values and support our mission to change the way the earth moves.
Employee interaction and relations are imperative to perform this role at it's best, including the provision of an open, approachable interface, ideally reached via visibility on-site at our Oxford HQ when required.
Requirements Core Responsibilities Include: Onboarding administration such as: Drafting and issuing offer letters and contracts of employment.
Issuing new starter documents, collating and recording documents received and liaising with new starters. Conducting reference, pre-employment checks and right to work checks.
Liaising with line managers and IT to facilitate onboarding.
Conducting HR Inductions for new starters.
Monitoring completion of the probation period process. Administration of internal HR Information System (HRIS) including workflows, system set up and settings. Supporting activities related to the creation, update and compilation of people data and reports.
Act as the employee interface for people queries within the HR inbox.
Assisting with administration of family friendly, annual leave and time off policies. Provide advice and support in response to basic people queries from team members. Providing support for payroll activities.
Assisting in the administration of our compensation and benefits plans.
Providing support for leavers processes including letters, off-boarding administration and exit interviews. Providing administration support for visa and relocation processes.
Organising and maintaining team member records and digital files, such as starter and leaver checklists.
Administration linked to employee lifecycle changes including promotion, salary review, change to terms and conditions. Preparing general / ad hoc letters, i.e.
reference request letters and confirmation of employment letters.
Liaise with stakeholders both internally and externally to ensure the smooth running of the department.
Supporting internal people audits with the chance to participate in a variety of other people-related projects.
Acting as an Ambassador for the People function.
What you will need to succeed: Recent experience working in a people centric role, ideally in a HR or people team Solid, detail orientated administration acumen.
High proficiency in Google Workspace: Docs, Sheets, Gmail.
Exposure to working with HRIS and ATS systems.
Strong communication and interpersonal skills.
