We are working with a highly reputable facilities maintenance company who are recruiting for an experienced Facilities Administrator to join their growing team!
Working with their large portfolio of commercial clients, you will be responsible for overseeing the reactive maintenance and ensure all the administration around the job is completed on time.
Reporting into a team of Senior Account Managers, you will be ensuring accurate delivery of the facilities management services whilst providing excellent customer service to their large, esteemed clients.
Duties: Overseeing, actioning and delivering a wide range of reactive maintenance services.
Assisting Account Managers with quotations and proposals following initial site attendances.
Ensuring all jobs are attended to within Service Level Agreements (SLAs).
Submitting engineer worksheets and managing financial activities of jobs.
Issuing worksheets, reports, invoices and credit notes.
Liaising with clients for job updates and managing client portals to reduce open job counts.
Coordinating with engineers to ensure efficient completion of maintenance tasks and troubleshooting as necessary.
Organising office operations and procedures to enhance workflow.
Monitoring service performance, identifying areas for improvement, and implementing strategies for client satisfaction.
Addressing customer enquiries and complaints with a proactive approach.
Collaborating with the delivery team to track expenses and optimise resource allocation.
About you: Proven experience in administration essential, ideally within the facilities maintenance Industry.
Construction knowledge is desirable.
Excellent communication and interpersonal skills, with the ability to effectively liaise with clients and internal stakeholders.
Exceptional organisational abilities, with a keen attention to detail and the ability to manage a busy schedule.
Knowledge of MS Office suite essential and previous experience with industry leading job management programs is ideal.
Ability to manage time efficiently and handle multiple task and deadlines.
Strong focus on providing excellent customer service and maintaining positive client relationships.
