The Supply Chain Supervisor is responsible for ensuring the departmental team has the "tools for the job" by driving operations within the department.
Responsibilities: H&S Champion for Health & Safety and Environment. Ensure risk assessments are available for all operations and are reviewed appropriately. Ensure operators are working in a risk-free environment. Support where applicable, Warehouse Manager in performing risk assessments. Operation Ensuring all attendance records are up to date and accurate, including all return to work forms. Monthly overtime sheets need to be handed to the warehouse manager at the end of each month, also to be recorded onto the attendance report. Holding daily meetings with the teams to discuss activities and targets. Ensure inventory accuracy is maintained to company standard (receipt, storage, distribution). Weekly meetings to be held with the warehouse manager to discuss issues, training, NC's, SOP's, staffing levels, and improvements. All reports to be cleaned down weekly. All information to be recorded and form part of a report that will be discussed with the Manager at weekly meetings. Monitor and transfer expired and quarantine material, working closely with QC department. Weekly cycle count to be conducted, including capsules and consumable stock items. Stock accuracy report must be kept up to date. Investigate and resolve specific supply chain/warehouse CAPA's/NC's. Goods Inward All stock items delivered must be processed within an 8-hour shift. Discrepancies or missing documentation must be reported to the relevant departments. Missing documents to be chased through the purchasing team. Ensure correct processes/SOPs are being followed by the warehouse team. Updating SOP's and creating new SOP's to support all job roles within the area. The training matrix must also be updated. Creation of competence questions to support the SOP's and training of the staff. Running area reports and cleaning down these weekly. Raw Material/Packing Creation and update of SOP's, ensuring the training matrix is up to date. Create training competence questions to support the SOP's and train out to staff. Ensuring the area is kept clean and tidy at all times. All stock locations need to be wrapped and contain a front pallet sheet. Accuracy of works order picking to be monitored for packaging, raw materials, and random checks completed on kits. Stock management of warehouse locations. Return stock, both raw materials and packing, to be processed efficiently and line 200 updated. Run weekly expiry reports and ensure the stock is physically moved to the quarantine area. Also, ensure the sage transfers are completed. Production/Material Handlers Ensure that all roles are covered on a daily basis. Daily updates need to be sent to the warehouse/supply chain managers before the daily morning meeting. Good clear communication with the production zone leader/managers regarding production requirements. All reports are completed weekly and cleared down. The information must be recorded as this will form part of the weekly meeting with the warehouse manager. Clear communication with the warehouse supervisor to ensure we do not cause any production downtime. Downtime for production to be fully investigated and reported to the warehouse manager. Ensure we do not have any bottleneck in our process that could cause issues to the performance of the warehouse team. Ensure that any additional stock picked from cold storage is recorded and allocated to the raw material works orders. Dispatch Update all SOP's and create new SOP's covering all job roles within the area, including updating the information onto the training matrix. Create competence questions to support the SOP's and train out to the team. Ensure all dispatches that leave are as per the customer requirements and the stock is accurate. The delivery by customer information is kept up to date and new customer requirements are added. Any discrepancies reported by the customer need to be investigated fully and the findings reported back to the warehouse manager. Expiry reports to be run on a monthly basis and the information sent to the relevant departments. Good clear communication with the logistical team regarding shipments. Continuous Improvement Developing and owning departmental improvement plans. Train team members to achieve improvement potentials. Support and guide groups to ensure improvements are delivered.
