We are currently looking to recruit an Executive Personal Assistant (EPA) to support the Managing Director (Industrial & Commercial) by providing professional secretarial and administrative support.
The EPA will act as the directors' first point of contact with people from both inside and outside the organisation.
You will provide high quality personal and administrative assistance to the directors and in support of the wider directors' team.
To help the directors to make the best use of their time by dealing with secretarial and administrative tasks.
Responsibilities: Devising and maintaining office systems, including data management and filing.
Processing and administering payment of invoices from suppliers.
Arranging travel as well as itineraries, visas, and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations Screening phone calls, enquiries, and requests, and handling them when appropriate.
Meeting and greeting visitors at all levels of seniority.
Setting up rooms and catering, as necessary.
Organising and attending meetings and ensuring the manager is well prepared for meetings.
Coordinating the scheduling of meetings for the department.
Organising and maintaining diaries and making appointments.
Processing expense reports for identified managers.
Dealing with incoming email, faxes, and post, often corresponding on behalf of the director.
Liaising with clients, suppliers, and other staff.
Taking dictation and minutes and producing documents, briefing papers, reports, and presentations.
Requirements Previous experience of supporting at Chief Executive/Director Level.
Substantial experience in use of IT systems e.g.
Word processing, spreadsheets, internet, Excel, power point.
Advanced IT Skills in MS Office applications, email, and the Internet Appropriate level of data protection, security awareness and confidentiality awareness Behaviours Excellent communications skills and establishes rapport easily.
Highly organised and efficient with the ability to work to tight deadlines.
Analytical with an eye for detail.
Professional, courteous, friendly, and tactful.
Ability to juggle priorities and has effective coping strategies.
