Honeycomb Jobs is delighted to be working with a regulatory body, to recruit for a permanent Executive Assistant to Senior Management and Board/Committees based in Belfast.
The Client - Our client is an elected and representative body, made up of pharmacists representing all aspects of the pharmacy profession in Northern Ireland.
The Role - Provide a full administrative support function for the Board and Committees in the delivery of their objectives.
Engage with the organisation's members and manage the development and delivery of services to members.
The post holder will provide full support to the organisation's Manager and to the development of research proposals driving professional activities and development.
Duties will include but will not be limited to: Administrative support, meetings, and events Lead an effective administrative support function for the organisation's Board, Committees and working groups and ensure effective governance of same Provide the key point of contact for all enquiries and signposting, working with a diverse range of stakeholders Provide secretariat to the Board and Manager by providing all necessary reports and ensuring actions and decisions are completed in a timely manner Provide secretariat to the Education and Research Committee supporting the Chairperson by providing activity reports, briefings and project planning Plan, organise and facilitate a wide range of events hosted by the organisation including educational and large showcase events for internal and external stakeholders Manage and develop the Continuing Professional Development Support Programme by coordinating the work of a facilitator team, managing the provision of resources and service evaluation Coordinate the Foundation Year Pharmacists Calculations Revision Programme to include event management and liaison with training providers Operational activity and administration of two charitable trusts which includes liaising with accountants, auditors and Charity Commission NI Maintain electronic and hardcopy filing systems and oversee destruction of sensitive documents Review operating practices and implement improvements where necessary Manage and maintain diaries, appointments and travel arrangements Conduct research, assemble and analyse data to prepare reports and documents Analyse and reconcile financial reports to prepare budgetary advice for the Manager Coordinate project-based work and such other duties as are reasonably necessary from time to time The Person As the successful candidate you will have the following background and experience: Essential: Educated to at least Degree Level or Equivalent and/or 5 years' experience in a similar role Minimum of 2 years' experience in managing/co-ordinating staff 3 years relevant experience in a role involving the Secretariat or Governance within an Organisation Minimum of 3 years' experience in Minute taking at Board Level Minimum of 3 years' experience working with Senior Management, Board and Committee Members Demonstrate at least 3 years' experience in report writing Demonstrate at 3 least years' experience in applying principles of Good Governance Proficiency in MS Office Suite with strong levels of IT Literacy to support high level reporting Strong planning, organisational and time management skills Excellent communication and interpersonal skills with the ability to work with a diverse range of key stakeholders Proficiency in MS Office Suite Strong analytical and problem-solving skills Ability to work independently and as part of a team Strong attention to detail and accuracy Desirable: Experience managing and working to a budget Previous experience in planning and organising high profile events Ability to work flexibly including evenings and very occasional weekends Professional Certification / Qualification in Governance Experience in administrating WordPress content Management Systems and business toolkits such as Mailchimp and Survey Monkey To speak in absolute confidence about this opportunity please send an up to date CV via the link provided or contact David McClure, Senior Recruitment Consultant at Honeycomb on .
