We have an opportunity for an experience PA to join a global retailer as the PA to the Group CIO and Head of Technology Innovation, supporting them by effectively and efficiently manging all aspect of their business and administration task.

Duties will include but not be limited to;Proactively manage inbox, diaries and meetings, including arranging/scheduling appointments, coordinating dates, times, and locations for meetings.Set up meetings with CIO's across the business and attend the CIO meetings, prepare the agenda and take minutes and chase actions from meetings.Draft communications on behalf of the CIO and Head of Technology Innovation.Organising Video Conferences, room bookings, catering and dial-ins.To arrange multi-destination international travel itineraries including booking of tickets, hotels, transport and keeping on top of changes.Manage all Visa or medical arrangements and currency requirements.To effectively filter calls and requests and manage them in a manner suitable to the priorities of the Group CIO and Head of Technology Innovation and the business.To ensure all correspondence and relevant materials required by the Group CIO and Head of Technology Innovation are produced in a timely and accurate manner – includes PowerPoint, documentation, briefs, presentations, formatting documents.To assist with researching, manipulation of data and editing of presentations, including the preparation of weekly meeting presentations when requiredLiaise with relevant departments, in particular HR and IT, in respect of new joinersTo establish and manage the invoice and expense process for the Group CIO and Head of Technology Innovation, including invoice payment, corporate card bills, personal expenses and phone bills.Event coordination for various department conferences both UK and International The right person with have previous PA experience supporting C-suite executives, you will have successful organisation and planning of multiple items to tight deadlines, often with conflicting priorities.
Working in this group head office people skills are essectiaon so diplomacy is key when dealing with senior/influential individuals.
The ability to work under pressure, short-notice changes to diaries and meeting and reorganising is key, you will be able forward plan whilst understanding what is key to your Exec's day.
You will be adaptable and open to change, you be comfortable showing a willingness and confidence in making suggestions for change where appropriate.
