Corporate Receptionist - Immediate

Ashton Recruitment is recruiting a Corporate receptionist for our client based in Belfast City Centre.
Position: Corporate Receptionist Hours of Work: Monday-Friday, 08:00-17:00 Duration: Temporary Rate of Pay: £12.00 Location: Belfast City Centre Duties will include but not limited to; * Offer a warm, courteous, and prompt welcome to all visitors at the reception desk upon arrival.
* Handle incoming telephone calls and inquiries promptly, providing a friendly and professional greeting using the agreed salutation.
* Assist with meeting room bookings as required, coordinating with relevant parties to ensure a seam-less service.
* Communicate effectively and promptly with team members and other service departments to ensure smooth service delivery and collaboration.
* Conduct regular checks of meeting rooms to ensure proper setup and readiness for client use, includ-ing rearranging furniture and layouts as needed.
* Notify the local Workplace Coordinator (WPC) or Regional Workplace Manager of any maintenance is-sues in the reception area or Client Suite requiring attention.
* Maintain a clean, organized workspace, including the front desk, seating area, meeting rooms, and cli-ent suite kitchen.
* Anticipate client needs, address requests, and strive to exceed client expectations.
* Inform relevant personnel of visitor and client arrivals promptly and ensure visitors are met or escort-ed to their destination in a timely manner.
* Keep waiting visitors informed of any delays and prioritize their comfort.
* Replenish meeting rooms with necessary supplies such as pads, pens, and pencils as required.
* Ensure all hospitality services are delivered promptly and meet high standards.
* Verify the functionality of audio-visual equipment and provide technical support when needed.
* Collect and submit reception and hospitality statistics to the Regional Workplace Manager on a weekly basis.
* Maintain adequate stationery stocks for the reception area.
* Always Keep the Reception Operating Procedure manual up to date.
* Work safely and report any hazards immediately to the local WPC or Regional Workplace Manager.
* Adhere to all Health and Safety instructions and attend mandatory Health and Safety training.
* Monitor and record catering and fridge temperatures in compliance with statutory requirements.
* Coordinate with a trained first aider if a visitor becomes ill or has an accident, ensuring all necessary documentation is completed.
* Report incidents to the local WPC, Regional Workplace Manager, or building security as appropriate.
* Ensure the reception desk maintains a daily list of all expected visitors and booked parking spaces.
* Follow procedures for recording staff visits from other UK or overseas offices.
* Issue and collect all client and visitor passes as required.
Essential Criteria * Immaculate grooming and personal hygiene is essential.
* Ability to communicate effectively both verbally and in writing is essential.
* Computer literacy skills - Intermediate Excel, Word and Outlook / Lotus Notes.
* Must have sound numerical skills.
* Ability to operate calmly under pressure.
* Strong customer focus.
* Able to demonstrate a professional and organised approach to the role.
* Logical thinker, able to spot errors and resolve queries * Able to deal with interruptions, work to deadlines and prioritise.
* Strong relationship skills - able to build and maintain rapport with guests.
* Able to multitask and be flexible.
* Enthusiastic, committed and determined.
* Sense of humour and an eye for detail.
* Striving to improve the service offered with proactive approach to service delivery and client satisfaction.
* Previous experience of customer service environment essential.
* Ability to work independently and as part of a team.
Desirable Criteria * Previous corporate working experience desirable.
* Previous experience as a receptionist desirable.
