The successful candidate will be responsible for the following, but not limited to.
The organisation and recording of the monthly Equipment Prioritisation Board & Strategic Finance Boards, ensuring action logs are circulated within 7 working days following meetings.
Monitoring & updating the staff training log, ensuring out-of-date training is flagged accordingly.
Obtain an EPC (Electronic Purchasing Card) to manage purchases of vouchers/gift cards as part of the corporate reward scheme (Thank You Scheme).
Ensuring appropriate approval has been granted and transactions are uploaded onto the online transaction log.
Coordinating and processing monthly audits of claims and expenditure to ensure that policy and guidance is adhered too.
Assisting in the completion of monthly audits of EPC purchases.
Financial scrutiny and approval of low value purchases up to the value of 1k on MOD system (CP&F) orders.
Maintaining finance registers for business cases, spend logs, approvals, etc.
Send off relevant paperwork to create CP&F New User account.
Processing of miscellaneous expense claims (1108s), checking receipts and line management approval and saving all relevant files to SharePoint as part of the audit trail.
Liaising with colleagues and suppliers to place orders, process payments and raise invoices accurately in line with policy and guidance.
Managing the group mailbox by directing incoming mail to relevant individual/s or department.
Day-to-day admin tasks such as filing & uploading supporting documents, retrieving paper mail and general upkeep of Share Point area.
Person specification We are looking for a highly motivated individual who is flexible, enthusiastic, and adaptable to develop the post and duties as they evolve in the Finance Team.
Experience of using MS Office suite of applications including Excel.
Strong organisational skills with the ability to co-ordinate multiple tasks.
