Job Description We are seeking a highly organized and detail-oriented Commercial Administrator to join our team at a property services business.
The role will involve supporting the commercial team in the management of property-related contracts, projects, and operations.
The ideal candidate will be proactive, capable of multitasking, and experienced in administrative tasks within a commercial property or facilities management environment.
This role would suit an individual wanting to work their way up through the commercial function (Graduate QS) of the business and progress in a growing business.
Key Responsibilities: Assist in the preparation, review, management and execution of contracts related to property services, ensuring compliance with company policies and industry regulations.
Prepare and maintain accurate records, reports, and files for ongoing and completed projects.
Ensure all documentation is up-to-date and easily accessible.
Input and update project data into relevant systems (e.g., CRM, financial tracking software).
Ensure accurate tracking of budgets, schedules, and project milestones.
Communicate with clients, suppliers, contractors, and other stakeholders to schedule appointments, address queries, and ensure smooth project delivery.
Support the finance team with invoicing, tracking payments, and reconciling accounts related to commercial property services.
Assist in procurement processes, including obtaining quotes, managing purchase orders, and ensuring timely delivery of goods/services required for property services.
Provide general administrative support to the commercial team, including scheduling meetings, preparing presentations, and handling correspondence.
Ensure that all commercial operations comply with relevant health and safety standards, industry regulations, and internal policies.
Skills & Qualifications: Proven experience in an administrative or commercial support role, preferably within property services, facilities management, or a related industry.
Strong knowledge of office software (Microsoft Office Suite, Excel, etc.)
and commercial management tools or systems.
Excellent organizational skills, attention to detail, and the ability to prioritize tasks effectively.
Strong written and verbal communication skills.
Ability to work independently and as part of a team.
Basic knowledge of contract law, procurement processes, and property management principles is a plus.
Desirable: Experience with property management software or ERP systems.
A background in finance or invoicing processes.
Knowledge of property services and facilities management industry standards.
Qualifications Education: A relevant qualification (e.g., Business Administration, Property Management, or similar field) is desirable but not essential.
