Job summary The Business Support Administrator role supports our Exeter community mental health teams.
As an Administrator in the team you will beinvolved with a wide range of tasks and processes that are intrinsic toensuring the team is working efficiently and in the best interests of ourpatients.Administration colleagues provide support to the clinicians to enablethem to provide the best care for our patients.

Main duties of the job To provide a comprehensive administration support to the Exeter Adult Community Mental Health Teams that provide for patients aged 18 to 65 years of age.There will be an expectation for the post holder to be highly motivated,flexible, and multi-skilled with excellent organisational skills.
The postholder will have high standard word processing skills and computer literacy.They will be required to maintain an up-to-date knowledge of InformationTechnology.
The post holder will need to meet deadlines, collate data andmaintain standards relating to administrative processes.
They will need to beable to work within a team effectively and share work streams where appropriate.Main duties of the role include (but are not limited to)minute-taking and meeting support, formatting documents, answering in-bound calls from patients, families and other health related professionals.
Actioning messages appropriately, organising meetings, dealing with incoming and outgoing mail,and any other general administrative duties required by the team.

The role will involve the coordination and implementation of office procedures and will require a high degree of organisational skills and excellent working knowledge of administrative systems.Key Responsibilities include:Work within an administration team supporting clinicians who provide community mental health servicesComprehensive diary managementMeetings administration; taking and distributing formal minutes; recording clear actions and following these up to check completion; maintaining attendance recordsFrequently inputting complex and sensitive data relating to people who use our services onto electronic patient records systemSupport the manager and team by ensuring that records are up to date on all staffing and patient systems as required and that items are dealt with quickly and efficiently on finance systems.
Person Specification Skills Essential Good communication skills, verbal and written.
Ability to take and convey clear messages.
Ability to work under some pressure.
Ability to work without direct supervision.
Plan and prioritise own workload.
Advanced typing skills.
Qualifications Essential RSA 3/ECDL(or equivalent standard).
NVQ3 in administration or equivalent level of knowledge and experience.
Desirable Speedwriting or similar.
Experience Essential Experience of general office routine and filing systems.
Administrative procedures.
Current working knowledge of Word, Excel, and Outlook.
Desirable Experience of working as part of a team.
Previous NHS administration experience.
