Associate Executive Assistant (10 Month Ftc Maternity Cover)

10 Months Fixed Term Contract Start date: February 2025 We are seeking a dynamic and highly organised Associate Executive Assistant to support the SVP of EMEA and VP of EMEA Sales.
This role is ideal for someone with exceptional organisational skills, an energetic approach, and a passion for providing top-notch executive support.
The successful candidate will play a critical role in managing complex schedules, coordinating meetings, and handling travel arrangements to ensure seamless day-to-day operations for senior leadership.
The role will report to the EMEA Revenue Chief of Staff.
Key Responsibilities Diary Management: Efficiently manage the complex calendars of the SVP of EMEA and VP of EMEA Sales, scheduling internal and external meetings, conference calls, and appointments.
Meeting Coordination: Organize and prepare for key meetings, including agenda preparation, coordinating attendees, taking minutes, and ensuring the follow-up of action points.
Travel Management: Arrange comprehensive travel itineraries including flights, accommodation, transfers, and visas, ensuring all details are meticulously planned and communicated.
Administrative Support: Handle administrative tasks such as expense reporting, document preparation, and organising files.
Event Planning: Assist in organising team offsite, client events, and other corporate functions.
Desired Skills And Qualifications Experience: 1-2 years of experience in a similar administrative or support role primarily based in the office, ideally within a fast-paced, dynamic environment.
Organizational Skills: Exceptional ability to manage multiple priorities, stay organized, and meet deadlines.
Attention to Detail: Strong focus on accuracy and follow-through.
Communication Skills: Excellent written and verbal communication, with the ability to interact professionally with stakeholders at all levels.
Energy & Proactivity: Positive attitude, energetic approach to work, and willingness to take the initiative.
Technology Proficiency: Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint) and Google (Sheets, Docs, Slides); familiarity with other tools like Microsoft Teams and travel management systems is a plus.
Adaptability: Ability to handle a fast-moving environment, stay calm under pressure, and adapt to changes in priorities.
Confidentiality: Demonstrates high levels of discretion when handling sensitive information.
