Antenatal Clinic Receptionist

Job summary The Antenatal Receptionist is the first point of contact for women and their partners visiting the clinic.
They will provide a full reception service, including meeting and greeting all attendees to the clinic reception area, offering a high level of administrative support to the clinical teams, ensuring the accurate completion of registration details, maintaining accurate computerised records and dealing with queries in a sympathetic and appropriate manner.
The postholder will be responsible for providing clerical support to the back office for the preparation of the Antenatal Clinics.
This will involve the prepping of patients notes for consultant and scan clinics, arranging routine appointments, scanning of paperwork to patient records, data validation and answering the phone.
The Antenatal Clinic is a busy outpatient area, with multiple clinics running each day, from specialist obstetric and midwife-led clinics to emergency and routine ultrasound scans.
The post-holder will be expected to understand the breadth of the service, and the importance of each related part.
Main duties of the job To open clinic in the morning, ensuring the area is ready to welcome women for their appointments To check women in and out of clinic using the relevant computer systems Book routine midwife and obstetric appointments To receive enquiries in person and over the phone and deal with them in a prompt, professional manner to ensure accurate information is given Rearrange routine clinic/scan appointments as required To respond quickly to changing situations and prioritise workload with a view to resolving problems within limits, and to escalate appropriately to antenatal administrators, the team leader, or clinical colleagues To maintain confidentially and adhere to the Data Protection Act at all times To be an effective team member, raising any concerns or queries to the attention of the Support Manager and/or Clinic Manager in a timely, manner To be fully aware of the implications of the Health and Safety at Work Act and the Trust's associated policies To undertake routine clerical work and associated tasks deemed appropriate at this level.

Job description Job responsibilities To ensure the reception desk and area is kept tidy To check accuracy of patient demographics at every encounter, and update when necessary Maintain computerised patient records to ensure all records are complete and up to date To maintain medical records by ensuring that all contents are correctly filed in the appropriate place Take payment for scan images as required Open and distribute post appropriately and in a timely manner Record DNAs (Did Not Attend) for services ensuring that the correct policy and protocol is followed Update the relevant clinical systems with clinical and administrative information as required To arrange interpreters for appointments as required To prepare notes for consultant and sonographer clinics to include the printing of labels and referrals To complete cashing up for all appointments in the clinic, ensuring a clinical and administrative outcome is recorded, including adding to outpatient/inpatient waiting lists or discharging referrals where appropriate.
To liaise with staff in other departments as required To provide information to clinical staff when requested To assist in the training of new members of staff To complete data validation tasks as directed by senior colleagues To have a flexible approach to help provide cover for colleagues to ensure that the reception desk has full cover for holidays and sick leave To undertake any other such duties commensurate with the post Person Specification Essential and Desirable Essential 5 GCSE as a minimum C or above to include Maths and English or relevant experience Training in in-house computer systems Good standard of computer literacy Desirable NVQ in customer care Previous NHS experience Previous experience working in Maternity Previous reception experience Essential Essential Willing to undertake relevant training as indicated for the role Good standard of computer literacy Strong customer care skills and ability to manage sensitive interactions Organised approach to work with attention to detail Essential and Desirable Essential Ability to maintain a high level of confidentiality Good communication and listening skills Ability to understand and put into practice the Trust and Units policies and procedures Sensitive, caring and understanding manner Able to demonstrate a non-judgemental approach to people A flexible approach and willingness to adapt to change and new challenges Ability to work well within a team but without supervision Organised approach to work with attention to detail
