About the Role Your primary responsibility will be managing the day-to-day data processing needs of the maintenance department, ensuring everything runs like clockwork. Additionally, you will provide backup support to the Helpdesk Coordinator, ensuring tenant and landlord requests are handled efficiently.
Key Responsibilities Data Processing: Maintain up-to-date records of maintenance activities, including health and safety compliance, engineer timesheets, stock levels, material purchases, and recharges. Supplier Coordination: Liaise with suppliers for quotations, job ticket allocations, and timely delivery of works. Compliance Management: Work with partners to ensure gas safety checks (GSC) and electrical inspections (EICR) are completed, updating property managers and tenants on progress. Helpdesk Backup: Provide cover for the Helpdesk Coordinator by managing job tickets, coordinating engineer workloads, and communicating updates to tenants and landlords. Stock Management: Oversee inventory for white goods, furniture, and engineer van stock, conducting regular stock takes and ensuring cost allocations are accurate. Administrative Support: Assist with general office administration, supporting other departments as needed, and contributing to one-off business projects. Key Attributes Customer-Focused: Build professional and positive relationships with tenants, landlords, and staff. Organised: Manage multiple tasks efficiently while prioritizing urgent requests. Proactive Problem-Solver: Ensure smooth processes and address challenges head-on. Attention to Detail: Maintain accurate records and ensure compliance with company procedures. Team Player: Provide support across teams and step in where needed. Experience and Skills Required Proven experience in administrative roles, preferably within property or maintenance sectors. Strong IT skills, with experience in data processing and reporting. Excellent communication and organizational abilities. Knowledge of health and safety practices is an advantage. Why Join?
